The L610 Infrastructure, Networking, and Communications division is seeking a Senior Administrative Assistant to provide support to two departments - L612 (Cloud and Infrastructure Engineering) and L614 (Intelligent Network Services). L610 focuses on solving complex infrastructure, networking, and communications challenges that are vital to the nation's well-being. This position will play an important role in enabling efficient day-to-day operations and support department leadership, staff, and business processes.
Roles & Responsibilities:
- Work collaboratively across the organization in support of two Department Managers and more than 100 staff members.
- Work closely with the two departments to support the day-to-day programmatic and operational needs of the departments.
- Provide a broad range of administrative support, including scheduling, calendar management, room reservation, arranging telephone and video teleconference connections.
- Plan, coordinate, and support a variety of events and department activities, including venue selection and catering arrangements.
- Assist staff with travel arrangements, prepare itineraries, coordinate conference participation, and arrange required support services.
- Assist staff with purchasing and tracking materials.
- Assist staff with submitting purchase requests, reimbursement requests, and other related administrative actions.
- Assist with training venue selection and coordination, track training licensing, staff training attendance and associated budgets.
- Assist staff with vacation tracking and time reporting.
- Assist with project demand tracking.
- Support hiring activities by scheduling interviews, reserving conference rooms, and preparing interview materials for panelists.
- Support onboarding activities for new staff.
- Develop, update, and maintain department-level collaboration and information-sharing sites, including SharePoint and Teams.
- Develop and maintain departmental files and documentation.
- Partner effectively with other administrative professionals to ensure coordinated and consistent support across the organization.
- Partner with Department Managers and the Finance team to assist with monitoring departmental budgets and financial activities.
- Quickly learn and apply new tools, technologies, and business processes.
Basic Qualifications:
- Typically requires a minimum of 5 years of related experience with a Bachelor's degree; or 3 years and a Master's degree; or a PhD with relevant experience who can immediately contribute at this job step; or equivalent combination of related education and work experience.
- Proficiency with Microsoft Office tools, including Outlook, One Note, PowerPoint, Excel, SharePoint, One Drive, and Teams.
- Proficiency with Zoom, Microsoft Teams, and video teleconferencing technologies.
- Demonstrated ability to work effectively with cross-functional teams and stakeholders.
- Experience supporting large organizations or significant numbers of staff.
- Must be able to obtain Secret Clearance
- Per the U.S. Government's eligibility requirements for a clearance, U.S Citizenship is required.
- This position requires a minimum of 4 days a week on-site
