INNOVA NW | SALES ADMINISTRATOR
Support the team. Drive the pipeline. Grow with us.
ABOUT INNOVA NWInnova NW is a growing security, fire alarm, and low voltage technology company serving commercial and residential clients across Oregon and Southwest Washington. With offices in McMinnville, Portland, Eugene, and Bend — and a clear roadmap to expand across the Pacific Northwest and beyond — we’ve built a reputation on doing things right and treating people well.
We move fast, we care about quality, and we’re building a team that wants to grow with us.
THE OPPORTUNITYWe’re creating a new Sales Administrator role to support our growing sales operation. This person keeps the pipeline moving, the data clean, the clients informed, and the team organized. It’s a high-visibility position — you’ll work directly with sales leadership and interact with clients regularly.
This is an entry-level pay position with real upward mobility. We promote from within and reward people who show up and perform. If you’re sharp, reliable, and want to learn how a sales organization runs, this role can evolve into something much bigger.
WHAT YOU'LL DO- Distribute and track inbound leads to ensure no opportunity falls through the cracks
- Reach out to potential new customers and existing clients to generate interest, schedule appointments, and keep relationships warm
- Support inside sales efforts — following up on quotes, checking in on open proposals, and helping move deals forward
- Manage and update the CRM — keeping contacts, activities, and pipeline stages current
- Generate and send weekly sales reports to management and the sales team
- Assist with proposal and contract preparation — formatting, sending, tracking, and filing executed documents
- Coordinate between sales and other internal departments to ensure smooth handoffs
- Schedule site walks, calls, and client meetings for the sales team
- Support client onboarding — sending welcome communications and coordinating initial steps
- Maintain organized records of bids, contracts, and client documentation
- Identify process gaps and help build better workflows — your input will be heard
- Organized and detail-oriented — you notice what others miss
- Strong written and verbal communication skills — you can send a clear, professional message without overthinking it
- Comfortable with technology — CRM systems, spreadsheets, and document tools are easy to pick up
- Reliable and self-directed — you don’t need someone standing over your shoulder
- Team player with a positive attitude
- Prior experience in an administrative, sales support, or customer service role is a plus but not required
- Experience in construction, trades, or the security/fire industry is a bonus
This role is designed to grow. As you learn the business and demonstrate your value, performance-based pay gets added to your base rate. People who excel here develop a strong foundation in how a sales organization operates — creating real paths forward in account management, inside sales, and sales leadership as we expand.
WHY INNOVA NW- You won’t be a number — your work is visible and your ideas get heard
- Fast-growing company with aggressive expansion plans — plenty of room to move up as we scale
- Competitive hourly pay with a clear path to performance-based earnings
- Generous benefits package
- Stable, recession-resistant industry — security, fire, and technology aren’t going anywhere
- Hard-working team, relaxed environment — we hold ourselves to a high standard and genuinely enjoy coming to work
