About the Role

We are seeking a detail-oriented and customer-focused Customer Service Coordinator to join our team. In this role, you will be responsible for managing incoming calls, coordinating schedules, and providing critical administrative support to our On-Call Clinician and Clinical teams. This position is ideal for someone who thrives in a fast-paced healthcare environment and is passionate about delivering excellent service.

Key Responsibilities
  • Answer all incoming calls in a professional and courteous manner, ensuring accurate triage and high levels of customer satisfaction
  • Maintain patient scheduling and coordinate services to meet care needs effectively
  • Update and assign direct care staff to ensure appropriate patient coverage
  • Communicate scheduling changes and patient concerns to on-call staff and clinical teams
  • Ensure staff receive accurate and complete information regarding patient care plans and service requests
  • Maintain strict confidentiality of patient, employee, and agency information
  • Report client concerns promptly to the Clinical Supervisor
  • Follow all company policies, procedures, and customer service protocols
  • Interact professionally with patients, staff, and the public in a fast-paced environment
  • Participate in trainings, meetings, and continuing education as required
  • Perform additional administrative duties as assigned
Required Qualifications
  • Associate degree in Business or equivalent work experience
  • Minimum of 1 year of experience in a customer service role
  • Strong proficiency in Microsoft Office Suite (Outlook, Teams, Excel, Word)
  • Excellent verbal communication and interpersonal skills
  • Strong organizational and multitasking abilities
Preferred Qualifications
  • Experience in a healthcare or medical office setting
  • Bilingual in Spanish (conversational or fluent)
Work Environment & Physical Requirements
  • Primarily a seated, office-based role
  • Occasional standing, walking, bending, or lifting (up to 25 lbs.)
  • Frequent use of hands and computer equipment
Travel Requirements
  • Local travel may be required (approximately 5% or less) for meetings or events
