Job Summary
Scheduling/Staffing Coordinator in a skilled nursing facility is responsible for ensuring adequate staffing levels to meet patients/residents care needs. This involves creating and maintaining schedules, managing staff requests, and potentially assisting with recruitment, interviewing and onboarding. They work to ensure compliance with staffing regulations and facility policies.
Essential Duties and Job Responsibilities
- Develops and maintains staff schedules, ensuring appropriate staffing levels for all shifts (including day, evening, night, and weekends).
- Coordinates with nursing supervisors and staff to address staffing needs, callouts, and vacant slots.
- Manages full-time, part-time, per-diem, and agency staff schedules.
- Tracks staff attendance, overtime, and scheduling changes.
- Ensures compliance with state staffing regulations and facility staffing ratios.
- Reports staffing and scheduling costs to the Director of Nursing and facility Administrator.
- Responds to staff crises, including shift cancelations and no-shows.
- Identifies and addresses staffing shortages and potential problems.
- Utilizes scheduling software and maintains accurate records.
- Creating and maintaining staff schedules for nursing departments, including master schedules and daily schedules, and arranging replacements for shifts.
- Determining appropriate staffing levels based on facility census and resident needs.
- Effectively communicating staffing changes and needs to the department heads, team members, and other relevant personnel.
- Assisting with payroll processing and related reporting.
- Building and maintaining strong relationships with staff members.
- Assisting with the recruitment and onboarding of new employees.
- Analyzing staffing data to inform recruitment and retention strategies.
- Addressing staffing challenges proactively and creatively.
- Participate in team meetings and discussions to contribute to care planning and problem-solving.
