The Purchasing Specialist is responsible for supporting the procurement functions of the Health Center. This role focuses on sourcing and purchasing necessary supplies, equipment, and services while ensuring cost-effectiveness and compliance with organizational policies and industry regulations. The Purchasing Specialist will work closely with vendors, internal departments, and leadership to maintain efficient procurement processes.

Job Responsibilities:

• Execute procurement activities following established policies and procedures to ensure timely and efficient purchasing of goods and services.
• Process purchase orders and requisitions while ensuring proper documentation and approvals.
• Update and distribute information, authorize for action and/or comply with established accounting practices.
• Monitor inventory levels and purchasing trends to anticipate procurement needs.
• Maintain and update purchasing records, databases, and supplier documentation.
• Address and resolve vendor-related issues, discrepancies, and returns.
• Prepare reports and key performance metrics to provide insight into purchasing activities and cost-efficiency.
• Participate in group meetings and efforts to improve processes designed to improve and monitor purchasing procedures
• Other duties as assigned

Qualifications & Requirements:

Education & Experience

Required:

· Minimum of two (2) years of experience in procurement, purchasing, or supply chain management.

· Strong analytical and problem-solving skills.

· Experience in vendor management

Preferred:

· Bachelor's degree in Business Administration, Supply Chain Management, or a related field.

· Experience in healthcare or nonprofit procurement.

· Familiarity with inventory control and purchasing software.

Skills & Competencies

· Strong organizational and project management skills, with the ability to multitask.

· Attention to detail and ability to maintain accurate records.

· Ability to analyze data, create reports, and provide recommendations for cost reductions.

· Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and purchasing systems.

· Excellent communication and interpersonal skills to interact with vendors, internal stakeholders, and leadership.

· Ability to work independently and collaboratively in a team-oriented environment.
