Position: Hearts With A Mission Program Manager

Full-Time Position

Hearts With A Mission is hiring a full‑time (40 hours per week) Hearts For Seniors (HFS) Program Manager in Douglas County. Join our team and make a difference in our community!

About Hearts With A Mission

Hearts With A Mission operates in six Oregon counties and provides faith‑based elder companion care, supporting seniors to stay in their own homes while fostering friendship and positivity.

The HFS program is free, volunteer‑driven and helps socially isolated seniors with companionship, assistance in daily activities, errands, and overall quality‑of‑life improvement.

Position Summary

The HFS Program Manager will oversee program implementation, supervise volunteers and interns, provide emergency on‑call support, and plan community engagement and partnership development for fundraising.

Management Structure

Reports directly to the Chief Program Officer. Supervises HFS Case Managers. Position includes a three‑month introductory period.

Essential Functions and Responsibilities Financial Stewardship
  • Provide oversight of program budget.
  • Explore and evaluate potential program revenue sources.
  • Participate in planning and development of HFS special events (recruitment, fundraising, public speaking, community events) in collaboration with Marketing & Development.
Leadership and Staff Management
  • Supervise, train and support HFS staff and volunteers.
  • Network with local faith communities to build partnership teams.
  • Develop and coordinate volunteer teams for social networking and communication newsletters.
  • Provide regular program updates to HWAM CEO & CPO.
  • Participate in HFS meetings and supervision as needed.
  • Develop and implement regular in‑service trainings for staff, volunteers, partners.
Program Development and Oversight
  • Maintain knowledge of the HFS Framework to ensure program fidelity.
  • Network with community resource providers to build a referral base.
  • Develop and maintain electronic tracking/reporting for recruitment, training and volunteer certification.
  • Interview, approve/deny volunteers and complete required documentation.
  • Maintain file integrity and confidentiality.
  • Conduct referral calls and initial eligibility screening.
  • Participate in quality assurance and improvement activities; prepare internal reports and funding reports.
Requirements Knowledge
  • General record keeping practices and procedures.
  • Oregon DHS Mandatory Reporting program.
  • Organization's rules, regulations, procedures, mission, vision, and values.
Skills and Abilities
  • High level of ethics, integrity, honesty, transparency, and professionalism.
  • Excellent organizational and time‑management skills.
  • Clear communication and interpersonal skills (verbal and written).
  • Proficiency with PC, tablet or other devices and Microsoft Office (Word, Excel, Access).
  • Ability to manage multiple programs or projects and adjust priorities frequently.
  • Ability to present information to diverse audiences and in public meetings.
  • Ability to establish effective working relationships with stakeholders.
  • Ability to pass a pre‑employment background check.
  • Valid driving record, reliable transportation, and proof of auto insurance.
  • Dependability, reliability, accountability, punctuality, and attendance.
Work Environment

Work is performed indoors in office or meeting rooms; occasional exposure to chemical solutions, airborne and blood borne pathogens may occur. Schedule may include evenings, weekends, and holidays. Local travel is required – mileage reimbursement is available. Reasonable accommodations will be provided for disabilities.

Job Requirements

Essential functions include prolonged sitting, standing, computer use, reading, writing, verbal communication, and manual dexterity. Minimum Experience and Qualifications
  • Bachelor’s Degree in Social Work, Psychology, Education, or a related field (or equivalent combination of education and experience).
  • Minimum of three (3) years’ experience working with the elderly population.
