Mailroom Coordinator

Summary

The mailroom coordinator is responsible for overseeing all mailroom functions including receiving, screening, and distribution of mail and packages within the correctional facility. The incumbent manages and monitors all work done in the facility mailroom. The mailroom coordinator will be responsible for overseeing the mailroom clerk.

Examples of duties (illustrative only)

* provides the supervision, direction, guidance, and oversight to mailroom clerk.

* initiates and conducts subordinates' training.

* performs administrative functions such as approving leave, time sheets, and evaluating employees work performance consistent with facility policy and procedures.

* processes and inspects all incoming correspondence both electronically and manually to include incarcerated person mail, incarcerated person legal mail, and facility mail and packages.

* retrieves mail from all incarcerated person housing areas and facility on-going points.

* carries and retrieves mail from the u.s. Post office daily.

* carries and retrieves mail from media courthouse.

* delivers both staff and incarcerated person mail to the designated areas.

* searches all incarcerated person packages and legal mail for contraband items.

* processes and receives all special deliveries for the facility from usps, fed ex, dhl, and ups.

* ensures all facility packages are picked up or delivered to each department each day.

* delivers all certified mail to post office for processing.

* performs other duties as assigned

Required knowledge, skills, and competencies

* valid driver's license

* high school diploma or equivalent

* must be able to communicate verbally and in writing.

* demonstrated supervisory experience.

* must be able to work with the incarcerated person population.

* computer literacy/knowledge is a must.

* experience in correctional setting mail procedures preferred.

* at least three years (3) in a correctional setting is required.

Working environment

Standard jail facility and office environment. Incumbent may be involved in sitting and walking at will, walking/standing and/or sitting for long periods, lifting/ carrying heavy objects, crouching/kneeling, bending at the waist, close and far vision, reaching, handling/ grasping/fingering objects, hearing sounds/communication. Incumbent is frequently exposed to the hazards associated with jail operations, such as potentially violent individuals and communicable disease. No prolonged extreme physical demands are associated with normal duties or assignments.
