We are seeking a highly organized and detail-oriented Administrative Assistant to join our dynamic team. This role requires exceptional multitasking abilities and strong communication skills to coordinate scheduling, customer service, and administrative support. You will work closely with technicians, office staff, and customers to ensure smooth daily operations.
Key Responsibilities:
Scheduling & Coordination:
Manage and maintain calendars for technicians, ensuring efficient job assignments and minimizing scheduling conflicts.
Customer Service:
Serve as the primary point of contact for customers, answering calls, responding to inquiries, and providing excellent service.
Administrative Support:
Handle office tasks, including data entry, filing, and maintaining accurate records.
Communication Hub:
Act as a liaison between technicians, office staff, and customers, ensuring clear and timely communication.
Attention to Detail:
Verify work orders, invoices, and reports for accuracy before submission.
Problem-Solving:
Proactively address scheduling challenges and customer concerns with a solution-oriented approach.
Office Efficiency:
Assist in streamlining processes and improving workflow in a fast-paced environment.
Handle high call volumes: A considerable amount of time is spent on the phone with customers and field technicians.

Qualifications:
Proven experience as an Administrative Assistant or in a similar role.
Strong organizational skills with the ability to prioritize and multitask.
Excellent verbal and written communication skills.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Google Suites) and scheduling software.
Ability to work effectively under pressure in a fast-paced setting.
Experience working with technicians or in a service-based industry is a plus.
