The Permitting Coordinator supports the organization’s mission to provide superior quality, lasting value, and outstanding customer service through the day-to-day workflow processes that affect Holiday Builders. The Permitting Coordinator is an extension of the Central Processing Center (CPC) which will provide customer service, clerical, and administrative support to the field division office of the company.
ESSENTIAL DUTIES AND RESPONSIBILITIESProvides general customer service, clerical and administrative support to include:
- Handle all documents, correspondence and data entry required to receive building permits.
- Follow up with our trade partners for receipt of requested documentation needed to submit for permit.
- Ordering Surveys and Energy Calculations.
- Manage, track, and report on status of homes until a building permit is issued.
- Communicate with various municipalities to ensure proper documents are submitted to obtain permits.
- Coordinate with couriers to travel to various municipalities to apply /pick-up all required building permits and provide fees and documents to obtain Building Permits, in a timely manner.
- Assist customers, trade partners/vendors and construction personnel as required.
- Maintain the Permitting Procedure spreadsheet to ensure the latest updates to the process are included.
- Communicate by phone, email/letter or in person with both customers and personnel regarding status of permits.
- Manage outgoing and incoming mail.
- Acts as a liaison with other departments and customers (internal and external).
- Assist with other related clerical duties such as photocopying, scanning, faxing, and filing.
- Performs other duties as assigned.
High School Graduate or equivalent
Additional specialized training/experience in construction office administration highly desirable
Experience in Construction Permitting is a plus.
2 years directly related experience.
Skills/AbilitiesRequires ability to:
- Demonstrate proficiency with Microsoft Office Suite and database applications.
- Possess the ability to work in a fast-paced environment.
- Handle sensitive and confidential information.
- Work well in a team environment.
- Find solutions to various administrative problems, prioritize/organize work, and meet deadlines.
- Interact and communicate with individuals at all levels of the organization requiring excellent verbal and written communication skills.
- Maintain attention to detail and follow through.
- Dependable transportation is required for regional travel.
Able to lift, push, or move 10 to 25 pounds without assistance.
Requires the ability to climb, stoop, kneel or crouch to gain access to equipment, files, and office supplies.
