The Loan Operations Manager is responsible for managing the booking, servicing and post‑closing processes of commercial and consumer loans, ensuring accuracy, compliance, and efficiency.
A key focus of this position is streamlining processes, leveraging technology, and implementing automation to improve workflow efficiency. The specialist will play an integral role in optimizing loan operations by identifying opportunities for system enhancements and reducing manual redundancies.
Key Responsibilities Daily Loan Operations- Daily balancing of all loan operations GLS, including Loan Control, Loans in Process, and other General Ledgers (G/Ls). Research and correct any discrepancies.
- Examine daily billing statements for accuracy and necessary corrections.
- Review daily posting journals for loan activity, payments, unposted items, and participation transactions.
- Process all participations.
- Ensure timely processing of loan satisfaction and releases for paid loans.
- Manage auto‑payments, manual payments, and special instruction loans.
- Assist internal and external clients with loan inquiries and providing prompt resolutions.
- Mortgage servicing to include not limited to escrow processing and payments, paying insurance, etc.
- Monitor new credit requests and closing dates in
- Review loan closing documents, prepare information for adding loan to CSI system.
- Loan Booking in CSI and update general ledger spreadsheets.
- Enter loan details on the system one closed.
- Construction Monitoring – Inspection, Title Updates, construction checklist, review insurances, review NOC, fund draws.
- Loan Booking in CSI and update general ledger spreadsheets.
- Entry of loan details and financial updates in G/L spreadsheets.
- Create and manage loan ticklers in CSI.
- Generate CVS file in CSI.
- Track insurance compliance through Lee & Mason.
- Upload and index essential documents in final SharePoint folder (e.g., appraisals, environmental reports).
- Oversee special loan relationships (e.g., Life Style Home Builders).
- Book loan (see section Loan booking and Verification).
- Add ticklers and follow up on post‑closing items. Confirm receipt and filing of post‑items (assignment of mortgage, Good‑bye letter, etc.).
- Develop and update policies and procedures for loan servicing, post‑closing operations, and automation initiatives.
- Maintain and update weekly rate sheets.
- Create new loan products and confirm disclosure requirements.
- Send consumer disclosures when necessary.
- Leverage technology to automate workflows and improve post‑closing efficiencies.
- Collaborate with leadership and IT teams to streamline manual loan servicing processes.
- Serve as backup for all department functions and assist in escalated issues.
- Managing other Loan Operations personnel.
- Act as a mentor to new team members, providing training on loan processes and compliance.
- Prepare documentation and responses for internal audits, loan compliance reviews, and external examinations.
- Manage construction and mortgage loan portfolios.
- Strong analytical and problem‑solving skills with attention to detail.
- Tech‑savvy and proficient in loan servicing platforms, including CSI, Laser Pro, SharePoint, Abrigo, and
- Experience in loan servicing, post‑closing, and process automation to improve operational efficiencies.
- Ability to streamline processes and implement automation solutions to reduce manual redundancies.
- Excellent communication and collaboration skills to coordinate with attorneys, bankers, and internal teams.
- Thorough understanding of commercial loan documentation and compliance requirements.
