Job Summary

Clevens Face and Body Specialists is seeking a personable and highly organized experienced Front Desk Specialist to join our dynamic team at our esteemed plastic surgery practice. As the first point of contact for our patients, you will play a pivotal role in creating a welcoming and efficient experience, providing exceptional customer service and seamless administrative support. This position reports directly to the Practice Director.

Preference will be given to candidates with experience in plastic surgery or dermatology offices, strong computer skills, and familiarity with EMR systems. The ideal candidate is professional, compassionate, efficient, and able to thrive in a fast-paced, multitasking environment.

Key Responsibilities
  • Greet patients warmly and professionally, ensuring a positive and welcoming experience from the moment they walk in.
  • Assist patients with check-in and check-out procedures, ensuring all information is accurate and up-to-date.
  • Manage phone inquiries, schedule appointments, and provide information with a high level of professionalism.
  • Oversee appointment scheduling, optimizing provider time and patient convenience.
  • Coordinate, confirm, and reschedule appointments, ensuring all necessary instructions are communicated.
  • Collect and verify patient information to ensure accuracy and completeness.
  • Maintain and update patient records in the electronic medical records system (preferably Nextech).
  • Assist with obtaining necessary authorizations and referrals for procedures.
  • Perform general administrative tasks including filing, scanning, and document organization.
  • Handle incoming and outgoing communications such as emails and faxes.
  • Post superbills and run daily reports to ensure accurate financial reconciliation.
  • Maintain a clean, organized, and welcoming reception area.
  • Coordinate with maintenance staff for repairs and improvements as needed.
  • Provide patients with basic information regarding procedures, pre-operative and post-operative care, and practice policies.
  • Distribute educational materials and resources to support patient understanding.
  • Collaborate effectively with the clinical team to ensure a smooth flow of patient care.
  • Communicate patient arrivals and special requirements to nursing and medical staff.
  • Gather patient feedback and proactively address concerns to improve the patient experience.
  • Strive to enhance patient satisfaction through efficient, friendly service and seamless front-office operations.
Qualifications

Required:

MUST HAVE 3 YEAR PLUS OF MEDICAL OFFICE EXPERIENCE

Strong customer service and communication skills.

Experience with electronic medical records (preferably Nextech).

Proficient in basic computer and office software.

Exceptional time management and organizational abilities.

Self-motivated with a strong sense of initiative.

Preferred:

2+ years of experience in a medical office.

Experience in patient scheduling and insurance verification.

Background in plastic surgery, cosmetic surgery, or dermatology.

Proficiency in Microsoft Office (Word, Excel) and Nextech.
