Under the supervision of the Long Island Office Administrator, the Office Assistant is responsible for providing in-office support to Attorney Practice Coordinators and Attorneys in the areas of reception, mail processing and distribution, records and file support, photocopying, scanning, office maintenance, clerical support, and other administrative tasks as directed.
This is an in-office position resident in Long Island.
Pursuant to New York regulation, the hourly salary range for this position is $27.40 to $31.25, contingent on relevant experience and education, and includes eligibility for performance-based bonuses. We offer generous compensation and benefits packages. For more information visit:
Responsibilities- Providing support to Attorney Practice Coordinators including: assembling document notebooks and binders; printing, scanning and copying; arranging courier services; preparing outgoing Fed Ex and mail parcels; processing incoming mail/Fed Ex/deliveries; coordinating and scheduling vendors; general administrative duties and office maintenance.
- Providing support to the Office Administrator including internal office events, marketing and special events.
- Provide project support as needed to include information tracking and/or maintaining logs.
- Providing filing support to Attorney Practice Coordinators including updating litigation files, both electronic and physical files, assembling and updating binders as requested by Attorneys and/or Attorney Practice Coordinators.
- Responsible for greeting visitors, advising appropriate personnel, providing hospitality services and assisting with workstation/conference room setup.
- Responsible for maintaining visitor logs utilizing firm software and ensuring adherence to all security protocols.
- Responsible for assisting with the administration of the badge program and assisting with Verkada pass.
- Responsible for assisting with conference room reservations and maintaining conference room calendars.
- Responsible for assisting with coordination of technology needs of conference room reservations including zoom equipment, presentations and general A/V support.
- Responsible for assisting with catering for conference room reservations and other meetings, including placing food and beverage orders, catering set-up and clean-up.
- Responsible for maintaining cafe/kitchen supply stock and appearance.
- Responsible for maintaining office supply stock and placing supply orders.
- Responsible for overseeing the neatness and cleanliness of all common areas in the office, including the lobby/reception area, conference rooms and cafes.
- Responsible for acting as a liaison with building personnel for issues, including office temperature, light bulbs, janitorial, and other daily maintenance issues. Tracks building issues, coordinates with 3rd party building cleaning company.
- Responsible for assisting with coding and processing of firm invoices as needed.
- Accountable for keeping Office Administrator informed of problems and issues.
- May perform other duties as assigned.
- Minimum High School Diploma required, college degree preferred.
- Minimum of 3 years on the job experience within a law firm and/or office environment in order to gain an understanding of office policies and procedures and effectively operate equipment with minimal supervision.
- Ability to sort and organize documents for copy/print/scanning jobs.
- Must have strong knowledge of MS Word, Excel and Outlook.
- Ability to organize and prioritize numerous tasks and complete them under time constraints.
- Interpersonal skills necessary in order to communicate by email and telephone to provide information in an appropriate business manner.
- Must be able to work independently, be proactive, complete assigned tasks, and perform duties with minimal supervision.
- Work occasionally requires a high level of mental effort and strain when performing a high volume of clerical tasks and performing other essential duties.
- Ability to operate, maintain and stock supplies for standard office equipment, including laptops, printers, photocopiers, and telephones.
