Key Responsibilities Accounts Payable- Collect vendor invoices and supporting documentation.
- Match invoices to purchase orders and receiving documentation.
- Obtain invoice approvals from appropriate personnel.
- Enter vendor bills and invoices into Quick Books Online (QBO).
- Issue and maintain purchase orders.
- Research and resolve invoice discrepancies.
- Communicate with vendors regarding invoices, payments, and account inquiries.
- Maintain accurate vendor records, including W-9 forms and Certificates of Insurance (COIs).
- Reconcile accounts payable accounts and vendor balances.
- Assist with month‑end closing procedures.
- Maintain organized accounting records and supporting documentation.
- Support the accounting team with additional administrative and financial tasks as needed.
- Assist with project documentation and administrative requirements.
- Track and maintain subcontractor compliance documentation.
- Organize project‑related contracts, insurance certificates, and vendor files.
- Support project teams with administrative requests and documentation management.
- Make bank deposits and perform occasional banking‑related errands.
- Assist with filing, document management, and general office administration.
- Support special projects and process improvement initiatives.
Perform additional duties and responsibilities as assigned to support the accounting department and organizational operations.
Qualifications Required- High school diploma or equivalent.
- Strong attention to detail and organizational skills.
- Basic understanding of accounting principles.
- Proficiency with Microsoft Office, particularly Excel and Outlook.
- Valid driver's license and reliable transportation for occasional local banking errands.
- Strong written and verbal communication skills.
- Ability to manage multiple priorities and meet deadlines.
- Associate's degree in Accounting, Business, or a related field.
- Previous administrative, bookkeeping, or accounting experience.
- Experience with Quick Books Online.
- Experience in construction, real estate development, or a related industry.
- Highly organized with exceptional attention to detail.
- Dependable, self‑motivated, and accountable.
- Strong analytical and problem‑solving skills.
- Professional and courteous when interacting with vendors and team members.
- Ability to work independently while collaborating effectively with others.
- Eagerness to learn, develop new skills, and grow within the accounting profession.
