About the PositionThe Client Services Associate is a key support role responsible for ensuring smooth daily operations and a high-quality client experience. This position partners closely with the financial advisor to manage client communications, meeting preparation, onboarding, and ongoing service needs.
Success in this role looks like trust, consistency, and follow-through, knowing that when something is delegated, it will be handled thoroughly and correctly. Over time, this role may expand to support additional operational responsibilities and future team growth.
- Serve as a primary point of contact for clients, handling routine inquiries with professionalism and discretion
- Prepare for client meetings, including assembling reports, documentation, and follow-up items
- Manage client onboarding processes, paperwork, and account setup through custodial and CRM systems
- Maintain accurate client records, notes, and task tracking within the CRM
- Schedule client appointments and manage calendar coordination
- Handle incoming calls and route requests appropriately
- Complete post-meeting follow-ups and service requests
- Support compliance-related documentation and administrative processes
- Manage office operations such as supplies, technology coordination, and vendor servicing
- Identify opportunities to improve workflows, efficiency, and the overall client experience
- 5+ years of experience in an administrative, client service, or operations role
- Strong organizational skills with high attention to detail
- Confident written and verbal communication skills
- Ability to work independently and manage multiple priorities
- Positive attitude with a willingness to learn, adapt, and grow in the role
- High level of discretion and professionalism when working with confidential information
- Employment contingent upon successfully passing background checks, fingerprinting, and a drug screening
- Bachelor’s degree (any field)
- Prior experience in financial services, wealth management, or a professional services environment
- Proficiency with CRM systems, Microsoft Office, and scheduling tools
- Familiarity with compliance-driven or regulated environments
- Previous experience supporting financial advisors, executives, or client-facing professionals
