Position: Program Support Assistant (OA)

Overview

Summary This position is located at the Department of Veterans Affairs (VA) - Veterans Health Administration (VHA) - VA Medical Center - in the Nutrition and Food Services Department (N&FS) as the Program Support Assistant to the Administrative Officer - Nutrition & Food Service. The primary purpose of this position is to provide a wide variety of administrative, clerical, and technical support to Nutrition and Food Service.

Typing proficiency
:
This position requires the skills of a qualified typist. You must be able to type at least 40 words per minute.

GS-06 level qualifications
:
One year of specialized experience (equivalent to GS-05 in the federal service) that equipped the applicant with the knowledge, skills, and abilities to perform the duties of the position. Specialized experience includes: providing administrative support; collecting, compiling, and tracking data and information; processing documents and reports; establishing, updating, and maintaining office files and records; performing automation duties using software such as word processing, spreadsheets, electronic mail, desktop publishing, calendars, databases, and/or graphics;

answering telephones, referring visitors, and providing information. There is no educational substitution for the GS-06 level. Experience may include paid or unpaid experience, including volunteer work through National Service programs or other organizations. Volunteer work helps build competencies and can translate to paid employment.

Duties
  • The incumbent performs work that supports budget analysis and administration and uses office automation programs and software such as word processing, spreadsheet, and database management in support of clerical and administrative work, as well as copy machine, fax machine, scanner, and email.
  • As the Program Support Assistant, duties include: receiving requests for information, advising when information can be furnished, and providing it from files and records or following up with staff to ensure provision.
  • Performs work involving the collection, compilation, and/or tracking of data and statistical information in support of the NFS program operation.
  • Organizes data into Access databases or spreadsheet formats.
  • Receives and processes documents and reports in accordance with established procedures.
  • Reviews documents and reports for completeness and enters pertinent information into an automated tracking system or creates spreadsheets/databases to track them.
  • Prepares a wide variety of recurring and nonrecurring correspondence, reports, and other documents.
  • Establishes, updates, and maintains office files and records.
  • Keeps and types meeting minutes, agendas, and reports.
  • Performs office automation duties using software applications such as word processing, spreadsheet, electronic mail, desktop publishing, calendar, database, and/or graphics.
  • Assists other users regarding selection of applications, training on standard packages, and appropriate formats and procedures for each task.
  • Schedules nutrition clinic appointments, prepares appointment confirmation letters, and enters appointment data.
  • Serves as the primary ADPAC and TMS Administrator for NFS.
  • Ensures NFS employees are up-to-date and have met all mandatory training.
  • Orients and trains all NFS employees on computer use.
  • Acts as a liaison between OI&T and other services such as Employee Education Services.
  • Serves as a service resource to troubleshoot computer hardware problems, resolve software problems, and work with OI&T to upgrade computer functions.
  • Assists the Chief, Nutrition and Food Service, and other managers in handling all Union and Human Resources correspondence and personnel management documentation.
  • Work Schedule:

    Monday–Friday 8:00am–4:30pm or 7:30am–4:00pm.
