Position: Executive Assistant-Staff Vice President

Overview

To provide administrative support for the Staff Vice President which by nature of the superior's position involves high-level contact and exposure to sensitive information necessitating considerable use of tact, diplomacy, discretion and judgment.

Responsibilities
  • Relieve Staff Vice President of various administrative details: prepare reports and correspondence; maintain filing systems/records, confidential records, budget/expense account records; receive and assist visitors and telephone callers.
  • Compose correspondence and reports for own or Staff Vice President's signature.
  • Perform clerical functions that require knowledge of general business and office procedures, including coordinating conferences and meetings; schedule meetings and maintain calendar; arrange itineraries and coordinate travel arrangements.
  • Sort, read and annotate incoming mail and documents, attach appropriate files to facilitate action; determine routing and signatures required; maintain follow-up files.
  • Maintain familiarity with department projects and priorities; coordinate and maintain efficient office procedures and workflow.
  • Track and monitor projects from request through final document distribution.
  • Research and gather information and supporting data for meetings, work projects and reports as required.
  • Take action authorized during Staff Vice President's absence and use initiative and judgment to refer matters to delegated authority or handle them to minimize impact of absence.
Minimum Qualifications
  • High school diploma/GED. CPS or one year of related college courses strongly preferred. Four (4) years minimum of related business experience.
  • Good spelling, punctuation and basic grammar skills. Ability to compose correspondence for superior's signature.
  • Ability to prioritize mail and telephone calls for review/action. Ability to interface with all levels of management is required.
  • Strong organizational, communication and interpersonal skills; ability to handle multiple tasks.
  • Skills in the use of MS Word, Excel and PowerPoint and the ability to operate office equipment.
Preferred Qualifications
  • Law firm experience preferred.
  • Comfortable working with Executive Committee and Board Members.
  • Excellent time management skills; proficient in Microsoft Word.
  • Candidate will be supporting 3-4 attorneys plus the Global Stock planning team.
