To provide administrative support for the Staff Vice President which by nature of the superior's position involves high‑level contact and exposure to sensitive information necessitating considerable use of tact, diplomacy, discretion and judgment. Essential Duties/Responsibilities:
Relieves Staff Vice President of various administrative details: types reports and correspondence; maintains filing system/records, confidential records, budget/expense account records; and receives and assists visitors and telephone callers. Composes correspondence and reports for own or Staff Vice President's signature. Performs clerical functions that require knowledge of general business and office procedures including making arrangements for and coordinating conferences and meetings;
scheduling meetings and maintaining calendar; arranging business itineraries and coordinating travel arrangements. Sorts, reads and annotates incoming mail and documents and attaches appropriate file to facilitate necessary action; determines routing, signatures required, and maintains follow‑up file. Maintains familiarity with department's projects and priorities and coordinates and maintains effective office procedures and efficient workflow. Tracks and monitors projects from request stage through distribution of final documents.
Researches and gathers information and supporting data in preparation for meetings, work projects and reports as required. Takes action authorized during Staff Vice President's absence and uses initiative and judgment to see that matters requiring attention are referred to delegated authority or handled in a manner so as to minimize the effect of Staff Vice President's absence.
- High school diploma/GED.
- CPS or one year of related college courses strongly preferred.
- Considerable amount (four [4] years minimum) of related business experience.
- Good spelling, punctuation and basic grammar skills.
- Ability to compose correspondence for superior's signature.
- Ability to prioritize mail and telephone calls for review/action.
- The ability to interface with all levels of management is required.
- Candidate must have strong organizational, communication and interpersonal skills, and have the ability to handle multiple tasks.
- Candidate must have skills in the use of MS Word, Excel and PowerPoint and the ability to operate office equipment.
- Working knowledge of public company finance operations, including familiarity with quarterly earnings cycles, SEC reporting timelines, audit calendars, and associated peak workload demands.
- Ability to anticipate critical reporting deadlines (10‑Q, 10‑K, earnings releases, Audit Committee meetings) and proactively manage calendars, materials, and logistics accordingly.
- High degree of discretion, judgment, and precision in handling confidential financial data, executive communications, and Board‑level materials.
- Experience coordinating cross‑functional deliverables across Finance, Legal, Investor Relations, Tax, Treasury, IT, and external auditors.
- Experience managing expense budgets, invoice approvals, purchase orders, and vendor coordination.
- Ability to adapt to shifting priorities, particularly during earnings weeks, audit cycles, and major corporate events.
- Commitment to professionalism, accountability, and responsiveness in execution.
Position will be hybrid in Memphis, TN, candidate must live within a 50‑mile radius. Employee will be required to work at a Fed Ex office location several days a week. Position will report to VP Sheryl Price. Compensation grade .
