The Health and Safety Coordinator will assist the Health and Safety Department in administering employee health monitoring, training, and compliance programs. This position is responsible for maintaining accurate records related to physicals, audiograms, training, and hours reporting, while providing administrative and operational support to ensure compliance with federal, state, and company safety standards. The role requires close coordination with operations, safety personnel, and management to foster a proactive and organized safety culture.
DUTIESAND RESPONSIBILITIES Compliance Administration
- Maintain files and documentation of compliance activities, including driver qualification files, medical and drug testing, TWIC cards, training records, electronic logging devices (ELDs), driver Hours of Service (HOS), and Driver Vehicle Inspection Reports (DVIRs).
- Schedule DOT, baseline, and periodic physicals and audiograms; coordinate required drug and alcohol testing.
- File and submit compliance reports internally and with regulatory agencies as required.
- Conduct or coordinate internal reviews and audits to ensure compliance procedures are followed and documented.
- Identify and investigate compliance issues, following up on any irregularities or violations.
- Report violations of compliance or regulatory standards to management as appropriate.
- Verify that all company and regulatory policies and procedures have been documented, implemented, and communicated.
- Disseminate written policies and procedures related to compliance and safety activities.
- Serve as a confidential point of contact for employees seeking clarification on compliance issues or reporting irregularities.
- Keep the Director of Health and Safety informed of all compliance and regulatory issues.
- Manage and maintain the company’s training tracker:
- Enter new hires and remove terminated employees.
- Record and update training completion dates.
- Set up and assign training in Infiniti; monitor and track overdue courses.
- Set up new hires in Samsara and ensure completion of onboarding tasks.
- Collect, verify, and file new hire paperwork.
- Enter new hires into McLeod and ensure employee profiles are properly configured.
- Maintain up-to-date employee training files and ensure compliance with all required training.
- Prepare and submit MSHA hours and other required agency reports.
- Run and review Samsara reports to monitor Hours of Service (HOS) compliance.
- Ensure pre-trip and post-trip inspections are being performed.
- Communicate with drivers and supervisors to correct or address HOS or inspection deficiencies.
- Ensure that all cloud-based supply chain risk management and contractor prequalification platforms, such as ISN and Avetta, are monitored, updated, and in good standing.
- Assist the Health and Safety Department with safety initiatives, compliance reviews, and improvement projects.
- Conduct or assist with internal investigations of compliance issues and help develop corrective actions.
- Provide administrative and operational support to the department.
- Assist in onboarding new employees, ensuring training, paperwork, and compliance requirements are completed.
- Maintain organized, accurate, and confidential employee files and compliance documentation.
- Bring energy, enthusiasm, and a positive attitude to the department.
- Effectively communicate with technicians, drivers, supervisors, and other internal staff.
- Perform additional tasks and responsibilities as assigned by management.
- High school diploma or equivalent required; associate or bachelor’s degree in occupational safety, Business Administration, or a related field preferred.
- 1–3 years of experience in safety, compliance, or administrative support roles.
- Working knowledge of DOT, OSHA, and MSHA regulations preferred.
- Experience with Samsara, Infiniti, and McLeod systems preferred.
- Strong computer skills, including proficiency with Microsoft Office Suite (Excel, Word, Outlook, PowerPoint).
- Excellent organizational, documentation, and time management skills.
- Strong communication and interpersonal skills.
- Ability to handle confidential information with professionalism and integrity.
