Job Summary / Essential Job FunctionsUnder the direction of the Assistant Dean of Finance and Administration, the Administrative Associate 2-Dean's Office provides administrative support to executive-level positions by preparing reports, handling information requests, and operations for the College of Health Professions (COHP). This position performs administrative clerical duties and serves as the backup to the current Administrative Associate staff.
Responsibilities- Provides general clerical and administrative support to COHP Dean’s Office.
- Serves as the forward-facing representative of the department, providing an open-door approach to address the needs of students, faculty, and visitors while ensuring a welcoming and professional environment.
- Maintains inventory for the department.
- Schedules meetings, conference rooms, and creates Zoom or other links as needed.
- Enters time, invoices, reconciles the procurement card as needed; serves as backup for Senior Administrative Associate and Executive Assistant to the Dean.
- Processes travel authorizations, travel expense reimbursement and expense reports as needed.
- Coordinates departmental events, including booking venues and guest travel arrangements.
- Manages the COHP floor facility operations, coordinating maintenance and service requests.
- Organizes and proofreads materials, letters, and other correspondence.
- Performs other duties as assigned.
Minimum Requirements
- Education:
High School Diploma or GED. (Transcript required). - Experience:
Two (2) years of administrative experience; OR Associate’s Degree in lieu of experience.
- Strong public relations and interpersonal skills with the ability to communicate effectively (both written and oral) with executives, upper administration, faculty members, vendors, employees, students, and prospective students.
- Ability to multitask, work respectfully, and communicate with individuals.
- Ability to gather and document data, analyze data, draw conclusions from data and present best working practice models for evaluation.
- Ability to maintain confidentiality.
- Self-starter and excellent ability to identify and resolve problems.
- Strong organizational and planning skills to handle multiple time-sensitive responsibilities, set priorities independently, and meet deadlines.
- Knowledge of and proficiency in Microsoft Office, particularly Word, PowerPoint, and Excel.
