Position Summary

Works under general supervision to provide clerical support for the Food Safety program. This position requires limited independent judgment and skill in processing, communicating, creating, and maintaining records, files, and information related to specific departmental functions.

Pay Grade: 41

Salary Commensurate with Experience and Education

Minimum Qualifications

  • Two (2) years of experience in appropriate clerical, data processing, or statistical work; AND a high school diploma or GED; OR
  • One (1) year of appropriate clerical, data processing, or statistical work; AND one (1) year of college study (30 semester hours or 36 quarters) from an accredited college or university.
  • Bilingual with the ability to speak and write fluently in English and Spanish is preferred.
  • PROOF OF EDUCATION, TRAINING, AND/OR EXPERIENCE IS REQUIRED.

Duties and Responsibilities

  • Provides clerical and administrative support for the Environmental Health and Food Safety Program.
  • Assists customers in person and by telephone regarding permits, licenses, fees, and departmental services.
  • May provide interpreter and language assistance services for clients with limited English proficiency.
  • Processes applications, permits, registrations, and related departmental documents.
  • Enters, updates, and maintains computerized records and databases.
  • Reviews records and reports for accuracy and compliance with established procedures.
  • Prepares letters, memoranda, reports, and other correspondence.
  • Collects fees, maintains cash drawer balances, and records daily revenue, when applicable.
  • Maintains files, control records, and office documentation.
  • Compiles data and prepares routine reports.
  • Assists Environmentalists with invoices and fee assessments.
  • Assists other clerical staff and performs related duties as assigned.
  • Performs other related duties as required or directed.

KSAs

  • Knowledge of modern office practices, procedures, and equipment; skilled at operating office equipment.
  • Knowledge of Business English and Math.
  • Knowledge of basic cash-handling procedures and recordkeeping practices.
  • Ability to communicate effectively with diverse populations, including individuals with limited English proficiency.
  • Ability to plan, organize, and maintain an even flow of work.
  • Ability to express ideas clearly, concisely, and effectively, verbally and in writing.
  • Ability to prioritize tasks, meet deadlines, and adapt to changing operational needs.
  • Ability to maintain accurate records and prepare routine reports.
  • Proficient in Microsoft Word, Excel, and other County software applications.

Special Requirements

  • Bilingual with the ability to speak and write fluently in English and Spanish preferred.
  • Must be able to type a minimum of 25 words per minute.
  • May be required to handle and process cash payments.
  • Must possess strong customer service and interpersonal communication skills.

This means exemption from this policy is in effect for the following departments and positions: (1) Sheriff Deputy Patrol Officers, Deputy Jailers and Dispatchers, employed by the Sheriff Department, (2) Correction Officers employed by the Division of Corrections, (3) Firefighters, Paramedics and Dispatchers employed by the Shelby County Fire Department.

The residency exemption for public safety/civil service employees does not include Appointed positions with the Sheriff's Office, Division of Corrections, or the Fire Department.
