About the RoleWe are seeking a Computerized Maintenance Management System (CMMS) Administrator to support operations and maintenance (O&M) activities at the Memphis Internal Revenue Service Center (MIRSC) in Memphis, TN. The CMMS Administrator plays a critical role in managing workflow, service requests, records, and reporting to ensure contract compliance and operational excellence.
The CMMS Administrator will be onsite from 7:30 am to 4:00 pm, Monday through Friday, and at any other times required to manage all CMMS activities effectively.
The CMMS Administrator will need to have the ability to support overtime or after-hours administration duties as directed by the Project Manager or COR to ensure 24/7/365 operational support.
This is a fully onsite position at the IRS facilities in Memphis, Tennessee. This position is contingent upon contract award.
Responsibilities- Manage the day‑to‑day operation and integrity of the CMMS, including accurate entry, tracking, and documentation of service calls, preventive maintenance, and repair tasks.
- Receive, process, and dispatch all service requests and work orders; generate and assign work orders to technicians in real‑time.
- Maintain all contract‑required records and supporting documentation in the CMMS, ensuring timely update and availability for reporting and compliance audits.
- Develop, generate, and deliver all required reports (including custom queries), such as daily workforce reports, repair status, and maintenance logs, to the Project Manager and COR as requested, within deadlines—including four‑hour response as required by contract.
- Provide administrative and clerical support to the facilities management team and act as the CMMS subject‑matter expert for training, troubleshooting, and continuous improvement.
- Set up and organize all files, data, and official correspondence in compliance with contract and federal record‑keeping requirements.
- Support the TGS commitment to excellence, integrity, client service, and continuous improvement.

- Minimum of two (2) years of recent experience (within the past five [5] years) performing CMMS administration in a facility management, building operations, or related O&M environment.
- Demonstrated ability with CMMS platforms and maintenance software such as Archibus, Tririga, or similar, in a multi‑discipline, team‑driven environment.
- Familiarity with maintenance and operations workflows in large, complex facilities.
- Proficiency in Microsoft Office (Word, Excel, Outlook, Project, Teams, PowerPoint).
- Excellent organization, time‑management, and customer service skills.
- Ability to manage multiple priorities and projects and work both independently and as part of a high‑performance team.
- Must be able to develop and generate all reports required by the contract and the COR, including ad‑hoc reports or special data requests.
- Must comply with all IRS and federal background, suitability, and HSPD‑12 security requirements as a condition of assignment and continued employment.
- Ability to communicate effectively orally and in writing, and to respond to questions from vendors, customers, management, and others.
- Ability to build effective working relationships with staff, customers, and others.
- Must possess a valid driver’s license with a clear and satisfactory driving record.
- Must be able to pass background check requirements and obtain government clearance as set by clients.
- Comply fully with all applicable federal, state, and local regulations, customer/contract requirements, site safety policies, and background/suitability checks—including participation in any IRS‑mandated suitability adjudications (HSPD‑12).
