We're seeking a highly polished and proactive Executive Assistant to support our client's senior leadership and help drive the day-to-day operations of a growing organization.
This is more than traditional administrative support—you'll act as a trusted partner, helping leaders stay organized, manage priorities, and keep the office running efficiently for a team of 50+ associates.
What You'll Do- Provide high-level administrative support to leadership, including calendar management, meeting coordination, and travel arrangements
- Serve as the central point of contact for the office, ensuring a seamless and professional environment
- Coordinate leadership meetings, prepare agendas, capture notes, and follow up on action items
- Support office operations, including workspace planning, supplies, and facilities coordination as the team grows
- Create and manage reports, trackers, and executive-level documentation
- Partner closely with HR and Talent Acquisition to coordinate interview scheduling, offer logistics, and hiring processes
- Lead onboarding coordination for new hires and assist with offboarding activities
- Manage requests related to equipment, access, and workspace needs
- Track PTO and scheduling across the team, helping leadership stay informed and aligned
- Assist with employee communications, approvals, and workforce-related processes
- Plan and support team events, recognition efforts, and office culture initiatives
- Support annual processes such as performance reviews, merit increases, and bonus cycles
- Help identify training needs and coordinate learning and development opportunities
- Experienced Executive Assistant with a proactive, detail-oriented approach
- Strong business partner mindset with the ability to support senior leaders effectively
- High level of professionalism and discretion with confidential information
- Excellent communication skills and the ability to interact across all levels of the organization
- Strong organizational and time management skills in a fast-paced environment
- Ability to anticipate needs, solve problems, and keep leaders organized and focused
- Experience supporting a corporate environment preferred
- 5+ years of administrative or executive assistant experience required
- Experience supporting senior leadership preferred
- Exposure to HR, recruiting, or workforce coordination is a plus
- Bachelor's degree preferred
- Proficiency in Microsoft Office (Excel, Word, PowerPoint, Outlook)
- Familiarity with HRIS or applicant tracking systems is a plus
