Administrative Assistant 1 – (260000IM)
The Administrative Assistant 1 will report to Manager and provide confidential entry‑level executive administrative/secretarial assistance. Responsibilities include handling internal and external complaints, requests, and inquiries; referring questions to appropriate departments; and preparing office reports.
Responsibilities- Handle employee / customer complaints, requests and inquiries: answer inquiries and refer to appropriate departments.
- Project a positive image of the executives’ offices to the public and customers.
- Prepare and verify various forms, minutes, contracts, resolutions, etc., and assist in the preparation of the area budget.
- Compile, maintain and monitor highly confidential files, information and working papers, including matters under consideration by the President & CEO and executive staff.
- Notify various departments of information, directives and instructions from the President & CEO, executive staff and/or Manager/Director.
- Perform general office activities such as receiving and screening visitors; relieve the Manager/Director of general or routine duties; and advise of office/procedural problems and other matters that need attention.
- Stay abreast of the current status of plans, directives and activities; assist at special division functions.
- Operate division vehicle and office equipment.
- Perform other duties as directed.
- Valid driver’s license from the state of residence.
- High School Diploma or G.E.D. plus 2 years of college or business school.
- Experience:
2 years of experience, or high school diploma with 6 years as an administrative assistant or related. - Must successfully complete appropriate clerical/secretarial and/or training program for promotional progression within 6 months of hire.
- Works in an office under good conditions.
- Physical demands: sedentary work with standing or walking for brief periods, exerting up to 20 pounds of force on a regular basis and some dexterity in operating office equipment.
- Requires normal visual acuity and field of vision, hearing and speaking abilities.
