Winn Companies is looking for a Service Order Coordinator to join our military housing team at Fort Campbell, KY. In this role, you will be responsible for verifying the data integrity of service orders and employee time inputs, ensuring the correct materials and parts are assigned to work orders.

Responsibilities- Scheduling and coordination of service order work (internal and contracted).
- Monitor service order schedule to ensure appropriate goals and targets are met.
- Follow‑up scheduling such as parts hold, subcontract scheduling, etc.
- Reschedule missed appointments, handle after‑hour calls, and process work orders.
- Monitor radio communications when present.
- Complete preventative maintenance and pest control work orders.
- Utilize the YARDI database to manage the service process.
- Implement new and revised maintenance policies and information upon receipt.
- Support technicians and supervisors in service order functions.
- Assist with employee timesheets (temporary support, techs without mobile devices, etc.).
- Support day‑off work order handling and rescheduling for technicians/supervisors.
- Assist with mobile device troubleshooting and coordinate with supervisors.
- Ensure correct coding and classification of work orders and verify labor and parts entries on all work orders.
- Reconcile service hours in Yardi.
- Maintain the schedule for team changes and adjust settings for ATO, sick time, meetings, and training.
- Maintain accurate on‑call schedules and site information for dispatch team use.
- Serve as the primary liaison between the site and the dispatch team for smooth communication and operations.
- Monitor open work orders using the open WO analysis report daily.
- Provide DOM and maintenance managers with the information resources needed for daily operations.
- Recommend solutions and ensure they are implemented by appropriate staff.
- Review reports for inaccuracies, spot trends, and ensure daily project goals are met.
- Monitor data integrity by assisting staff with corrections and identifying steps to avoid future errors.
- Generate or receive service order contracted purchase orders when needed.
- High school diploma or GED equivalent.
- 1–3 years of relevant work experience.
- Valid driver’s license in good standing and ability to meet driving record standards outlined in the Company Safe Vehicular Operations Policy.
- Advanced skillset with computer systems such as Microsoft Office Suite.
- Ability to produce complex documents, perform analysis, and maintain databases.
- Excellent customer service and organizational skills.
- Solid verbal and written communication skills.
- Superb attention to detail.
- Ability to manage multiple assignments and tasks.
- Ability to work with a diverse group of people and personalities.
- A REAL driver’s license/ required to access the federal facility.
- Bachelor’s degree in Business Management.
