Order Entry Specialist
Job Description
The Order Entry Specialist serves as a key customer service representative, responding to inquiries via phone and email, resolving issues, and providing accurate information about products and services. This role focuses on creating and processing customer orders, managing customer accounts, and maintaining reports and spreadsheets to ensure precise tracking of inventory, order status, and product availability. The position collaborates closely with the warehouse team to ensure orders are processed correctly and on time, while maintaining and updating customer information within a warehouse management system.
Responsibilities
+ Respond to customer inquiries via phone and email, providing clear, accurate information about products, services, and order status.
+ Create and enter customer orders into the appropriate systems, ensuring all details are accurate and complete.
+ Manage customer accounts, including updating account information and maintaining accurate records.
+ Process orders from initial entry through completion, monitoring progress and resolving any issues that arise.
+ Maintain reports to track inventory, order status, and product availability, ensuring data is accurate and up to date.
+ Manage spreadsheets with real-time data to support order processing, inventory reconciliation, and account management.
+ Collaborate with the warehouse team to ensure orders are processed accurately and shipped on time.
+ Coordinate and maintain customer information in a warehouse management system, ensuring consistency and data integrity.
+ Reconcile inventory and identify discrepancies, reporting issues promptly and following up on resolutions.
+ Monitor shipping and receiving documentation and transactions, including posting orders and updating records.
+ Prioritize and manage multiple tasks and customer requests while meeting deadlines and service level expectations.
+ Communicate clearly and professionally with internal teams and external customers to support smooth order fulfillment.
Essential Skills
+ At least 1 year of experience in a customer support or order entry role.
+ Proven experience with order processing and order entry in a business environment.
+ Strong customer service skills, with experience handling inquiries via phone and email.
+ Experience in account management and maintaining accurate customer records.
+ Proficiency in data entry with a high level of accuracy and attention to detail.
+ Strong organizational skills and the ability to manage multiple tasks simultaneously.
+ Ability to multitask, prioritize work, and manage time effectively in a fast-paced setting.
+ Excellent verbal and written communication skills for phone and email interactions.
+ Computer proficiency, including Microsoft Word and Excel.
+ High school diploma or equivalent.
Additional
Skills & Qualifications
+ College degree preferred.
+
Experience with warehouse management systems (WMS) preferred.
+ Familiarity with SAP, Oracle, or AS400 systems is an advantage.
+ Strong Microsoft Office skills beyond Word and Excel are beneficial.
+ Ability to work collaboratively with warehouse and operations teams.
+ Comfort working with real-time data and maintaining accurate spreadsheets.
Work Environment
This role is based on site in an office setting within an industrial and third-party logistics (3PL) environment. The position involves regular collaboration with warehouse operations and exposure to a fast-paced, logistics-focused facility. You will work primarily at a computer using business software, warehouse management systems, and Microsoft Office tools, while coordinating closely with warehouse personnel to support accurate and timely order processing.

This is a Contract to Hire position based out of Memphis, TN.
Pay and Benefits
The pay range for this position is $19.00 - $19.00/hr.
