Part Time Production Coordinator – Observatory SDWhat This Role Will Do

  • Work closely with the Production Manager to support the department across many aspects of event execution and planning, and supervise and execute events independently as needed.
  • Maintain a positive and creative environment for the Production department and venue.
  • Complete and distribute show-close financials, documents, and information for each event.
  • Process and distribute pre-settlements internally, execute settlements accurately and professionally, and coordinate payments to artists.
  • Assist the Production Manager in maintaining department manuals and training materials for all production positions.
  • Train and support production department personnel with job functions as needed.
  • Adhere to the budget and track the financial aspects of the department for each show.
  • Create and maintain inventory and maintenance logs.
  • Work with the Production Manager to schedule the appropriate number of staff while keeping labor costs within the assigned budgetary guidelines.
  • Maintain regular communications with the Production Manager and the GM.
  • Facilitate proper interdepartmental communication and organization for show-specific purposes.
  • Oversee all aspects of the department from load‑in to load‑out, including overseeing hospitality, stage, sound, and lighting crews, coordinating directly with touring personnel, maintaining schedules, actively communicating with operations and security departments, and completing show-specific administrative tasks.
  • Coordinate operational feedback with the Production Manager and advance technical and hospitality details for shows/events.
  • Oversee maintenance of audio, lighting, backline, video systems, advising on repairs when needed.
  • Ensure safe and consistent operation of all equipment, and the successful execution of events.
Required Qualifications
  • Calm, professional, and customer service oriented.
  • Minimum 4 years prior production experience in an entertainment venue.
  • Stage management experience.
  • Managerial and/or supervisory experience.
  • Commanding understanding of industry norms, including artist deal structures, budget management, concert execution, event security and safety, production implementation and safety, and artist relations.
  • Understanding of stage lighting, pro‑audio systems, and video systems.
  • Ability to handle multiple projects simultaneously.
  • Ability to make clear, concise decisions, sometimes with limited information.
  • Computer literate in Windows applications (Excel and Word a must).
  • Superior interpersonal communication and organizational skills.
Preferred Qualifications
  • College degree.
  • Tour management experience.
Physical Demands

Must be able to lift up to 75 lbs. Moderate to loud levels of noise in the work environment. Potentially very long shifts (10+ hrs).
