Job Description
- Receives phone inquiries directing the call to the proper party or recording messages correctly.
- Receives phone calls from prospective residents, obtaining necessary information, quoting availability and prices, and encouraging scheduling a visit.
- Meets with prospective residents, answers questions, conducts property and apartment tours (upstairs and downstairs), obtains initial information, and reviews lease requirements, encouraging completion of an application.
- Prepares and maintains complete resident file system, ensuring all necessary forms, records, leases, agreements are present and current.
- Records resident service requests accurately and in detail to assist the maintenance team in timely completion.
- Schedules and inspects apartments for turnkey service.
- Receives and acknowledges resident notices and prepares files.
- Assists in lease renewal procedure:
- Completes lease renewal printout and submits to manager for approval.
- Sends renewal letters to residents unreachable by phone.
- Types new leases and all applicable addendums.
- Assembles move‑in packages.
- Keeps market survey of competitor rates updated monthly and visits competitors three times annually.
- Keeps all filing current.
- Schedules guest apartment and clubhouse rentals.
- Operates office alarm system in conjunction with opening and closing the office.
- Delivers thorough move‑in presentation to new residents.
- Calculates daily rent, prorata charges, late fees, and percentages (multiplication, division, addition, subtraction skills required).
- Excellent written and verbal communication skills for effective interaction with residents, prospects, employees, peers, vendors, owners, etc.
- Computer software experience including MS Word, Excel, Outlook, and One Site.
- Basic understanding of Federal, State, and local Fair Housing laws.
- Valid driver's license required.
- Experience in Sales/Property Management: 1 year.
- High school or equivalent education.
- NALP certification.
