Essity Professional Hygiene North America is currently searching for a Manufacturing Administrative Assistant located at our manufacturing facility in Menasha, WI
The Manufacturing Administrative Assistant/Human Resources Administrator provides comprehensive administrative and operational support to the manufacturing facility. This role serves as a key point of contact for employees, supervisors, Human Resources, Payroll, and Union representatives.
What You Will Do Payroll Administration- Process and maintain weekly payroll utilizing the UKG Dimensions timekeeping system.
- Review employee timecards for accuracy, attendance exceptions, missed punches, overtime, and schedule adherence.
- Collaborate with supervisors to resolve payroll discrepancies prior to payroll submission.
- Maintain payroll records in accordance with company policies and legal requirements.
- Support audits and provide payroll-related reports as requested.
- Apply union contract provisions related to payroll, attendance, overtime distribution, vacation scheduling, holiday pay, and shift differentials.
- Ensure payroll practices comply with collective bargaining agreement requirements.
- Assist in answering employee questions regarding pay, seniority, attendance, and contract-related provisions.
- Partner with Human Resources and site leadership to resolve payroll-related union issues.
- Coordinate and track employee leave requests, including Family and Medical Leave Act (FMLA) cases.
- Maintain accurate leave records and documentation while ensuring confidentiality.
- Assist employees with leave-related paperwork and communication requirements.
- Partner with Human Resources to ensure compliance with federal, state, and company leave policies.
- Support department managers with meeting scheduling, reporting, document preparation, and administrative tasks.
- Prepare and distribute site communications, notices, and employee correspondence.
- Manage office supplies and maintain organized administrative records.
- Writes purchase requisitions, enters purchase orders into SAP system, and prepares annual blanket order requisitions.
- Manages food and drink contractors for cafeteria and break rooms.
- Coordinate hourly production recruiting activities.
- Schedule candidate interviews and facilitate communication between candidates and hiring managers.
- Assist with candidate tracking, pre-employment requirements, and onboarding activities.
- Support job postings, recruitment events, and workforce staffing initiatives.
- Maintain recruiting records and ensure a positive candidate experience.
- 3+ years of administrative experience in a manufacturing, industrial, or unionized environment.
