Job Summary

The Compliance & Administrative Specialist plays a key role in supporting certified payroll reporting, general accounting functions, and daily office operations. This position serves as a backup to the front desk, assists with administrative tasks across departments, and helps ensure compliance with prevailing wage and payroll regulations. This role is ideal for someone who is detail-oriented, dependable, and comfortable working in a fast-paced, blue-collar environment with both field and office teams.

Certified Payroll & Compliance
  • Prepare and submit certified payroll reports in compliance with federal and state (prevailing wage) requirements
  • Review payroll data for accuracy, including classifications, wage rates, and fringe allocations
  • Maintain organized records to support audits and compliance reviews
  • Assist with gathering documentation and responding to payroll-related audits or inquiries
Accounting Support
  • Assist with AP processing and data entry as needed
  • Support accounts payable/receivable functions, including invoice entry and tracking
  • Help reconcile credit cards and other purchases
Administrative & Office Support
  • Provide backup support to the front desk, including answering phones and greeting visitors
  • Route calls and inquiries to appropriate departments in a professional manner
  • Assist with general administrative duties such as filing, scanning, data entry, and document preparation
  • Support internal reporting and tracking using Excel and other Microsoft Office tools
Cross-Functional Support
  • Work closely with accounting and other teams to ensure accurate and timely information flow
  • Assist with special projects and provide administrative support as needed
Preferred

Education and Experience
  • 3+ years of administrative, payroll, or accounting support experience preferred
  • Exposure to certified payroll, prevailing wage, or payroll compliance strongly preferred
  • Experience working in construction, manufacturing, or similar blue-collar environment a plus
  • Proficiency in Microsoft Office (Excel, Word, Outlook)
  • Strong attention to detail and organizational skills
  • Ability to handle multiple priorities and meet deadlines
  • Strong communication skills and a professional, team-oriented approach
