The Compliance & Administrative Specialist plays a key role in supporting certified payroll reporting, general accounting functions, and daily office operations. This position serves as a backup to the front desk, assists with administrative tasks across departments, and helps ensure compliance with prevailing wage and payroll regulations. This role is ideal for someone who is detail-oriented, dependable, and comfortable working in a fast-paced, blue-collar environment with both field and office teams.

Certified Payroll & Compliance- Prepare and submit certified payroll reports in compliance with federal and state (prevailing wage) requirements
- Review payroll data for accuracy, including classifications, wage rates, and fringe allocations
- Maintain organized records to support audits and compliance reviews
- Assist with gathering documentation and responding to payroll-related audits or inquiries
- Assist with AP processing and data entry as needed
- Support accounts payable/receivable functions, including invoice entry and tracking
- Help reconcile credit cards and other purchases
- Provide backup support to the front desk, including answering phones and greeting visitors
- Route calls and inquiries to appropriate departments in a professional manner
- Assist with general administrative duties such as filing, scanning, data entry, and document preparation
- Support internal reporting and tracking using Excel and other Microsoft Office tools
- Work closely with accounting and other teams to ensure accurate and timely information flow
- Assist with special projects and provide administrative support as needed
Education and Experience
- 3+ years of administrative, payroll, or accounting support experience preferred
- Exposure to certified payroll, prevailing wage, or payroll compliance strongly preferred
- Experience working in construction, manufacturing, or similar blue-collar environment a plus
- Proficiency in Microsoft Office (Excel, Word, Outlook)
- Strong attention to detail and organizational skills
- Ability to handle multiple priorities and meet deadlines
- Strong communication skills and a professional, team-oriented approach
- Comfortable interacting with all levels of employees, managers, and office staff
- Willing to jump in where needed (no task is too small)
- Reliable, approachable, and able to maintain confidentiality
- Practical, hands‑on mindset with a strong sense of accountability
