We are seeking an exceptional Executive Assistant & Development Coordinator to provide high-level administrative, organizational, reporting, and project support to the Associate Managing Partner while also supporting the broader Development Team.
This is a highly visible, fast-paced, high-trust role for someone who is incredibly organized, detail-oriented, proactive, and energized by working in the middle of many moving pieces. The ideal candidate thrives in a dynamic environment, can manage multiple priorities at once, and enjoys being deeply connected to the work rather than operating from the sidelines.
This person will serve as an extension of the Associate Managing Partner — helping manage communication, calendar, priorities, projects, follow-up, reporting, data entry, preparation, and execution. They must be able to anticipate needs, track details, protect time, and represent the Associate Managing Partner with professionalism and discretion.
The remaining portion of the role will support the agency’s Development Team, including coordination and reporting for leaders involved in advisor development, training, onboarding, and agency growth initiatives.
A meaningful part of this role will include organizing, maintaining, and reporting on important data. This person should be comfortable working in Excel and other systems to track activity, update records, create reports, monitor progress, and ensure information is accurate and accessible. Strong attention to detail, accuracy, and follow-through are essential.
This person will work with the leadership team, advisors, team members, and key stakeholders across the agency. Because of the visibility and nature of the role, extreme professionalism, confidentiality, sound judgment, and strong communication skills are essential.
Key Responsibilities Executive Assistant Support- Provide high-level administrative support to the Associate Managing Partner, including calendar management, meeting coordination, communication support, preparation, and follow-up.
- Serve as an extension of the Associate Managing Partner by staying close to priorities, anticipating needs, tracking details, and helping ensure important work moves forward.
- Manage and organize multiple tasks, projects, deadlines, and commitments at one time with accuracy and urgency.
- Prepare agendas, meeting materials, reports, presentations, documents, trackers, and follow-up items.
- Assist with communication flow, scheduling, and coordination across leaders, advisors, staff, and external stakeholders as needed.
- Create, update, and maintain accurate data in internal reports.
- Create and maintain trackers and reports to support visibility into priorities, projects, activity, progress, and follow-through.
- Represent the Associate Managing Partner with professionalism, discretion, confidentiality, sound judgment, and strong attention to detail.
- Provide organizational, reporting, and coordination support to the broader Development Team.
- Assist with coordination of trainings, onboarding sessions, advisor development meetings, development programs, team initiatives, and agency events.
- Prepare materials, agendas, attendance lists, reports, communication, and follow-up for development-related meetings and programs.
- Track advisor development activities, commitments, milestones, metrics, progress, and deliverables.
- Maintain accurate development-related data, spreadsheets, rosters, schedules, reports, and tracking tools.
- Support development team projects, contests, recognition, communication, and resources as needed.
- Help ensure development initiatives are organized, communicated clearly, and executed with consistency.
- Act as an “all hands on deck” team member who is willing to jump in, support shifting priorities, and help the team move work forward.
- Previous experience in a senior administrative, operations, project coordination, reporting, or similar support role.
- Exceptional organizational skills with the ability to manage multiple priorities, tasks, projects, deadlines, and commitments at one time.
