This role will focus on providing administrative support to the Board and to Board staff. The Executive Assistant also assists with fiscal management, payroll, human resources and benefit management.

The following are examples of major job duties expected for this position to perform:

  • Provide customer service necessary to perform intake of complaints and develop good working relationships with internal and external stakeholders.
  • Data entry, maintain Board files, manage SharePoint site, maintain Board’s website, maintain Board’s Office of Minnesota Secretary of State website, provide reports on complaints, and assist in the preparation of the annual report.
  • Coordinate HR operations including onboarding, payroll entry, expense reimbursement, and benefit management.
  • Provide support to board members including onboarding, board manual maintenance, and expense reimbursement.
  • Assist with board meeting preparations, mail agenda materials to board members, and draft board meeting agenda and minutes.
  • Assist with fiscal management including paying invoices, creating purchase orders, entering expense budgets, managing the budget, and running financial reports.
  • Assist with the biennial budget preparation process, establish new appropriations in AMA, and assist the Executive Secretary in appearances at the state legislature on budget matters.
  • Provide IT support and work with MNIT and the Board’s IT vendor to resolve IT issues.

Minimum Qualifications

  • High school diploma or equivalent.
  • Two years of administrative experience.
  • Customer service skills that are sufficient to provide prompt, courteous, and accurate information to customers and staff over the phone, in person, and via email.
  • Proficiency using computer software applications such as Microsoft Office, Windows, Outlook, Excel and specialized database applications.
  • A high level of integrity and good judgment and the ability to maintain the confidentiality of highly sensitive information.
  • Ability to communicate effectively, both orally and in writing.
  • Ability to establish and maintain effective working relationships with others within and outside the agency.
  • Ability to organize and prioritize work and work independently with minimal supervision, as well as effectively work as part of a team.

Preferred Qualifications

  • Accounting skills.
  • Experience in budget preparation and financial management.
  • Experience using SWIFT, SEMA4, BPAS, AMA, and other state-specific applications.
  • Information technology skills and knowledge.
  • Website management skills.
  • Experience using SharePoint.
