Job Description
The Consumer Finance Coordinator plays a vital role in ensuring the accurate, timely, and compliant management of consumer personal funds, room and board revenue, and service authorizations. This position supports fiduciary responsibilities, maintains financial accuracy across systems, and partners closely with accounting, operations, and external agencies to uphold consumer rights and regulatory requirements.
WHAT YOU WILL DO:- Manage Consumer Personal Funds: Handle deposits, payments, and records with documentation in a timely manner.
- Credit and Debit Card Administration: Administer credit and debit card activity, including monthly transaction imports and reconciliations within 60 days of month of issue.
- Identify Reports and Develop Forms: Assist accounting/operations staff with information validation within My Money system.
- Audits and Data Reviews: review information in My Money system for active and inactive clients.
- Representation of Room and Board Revenue: Enter and reconcile all room & board revenue accurately and timely.
- Prepare and Process: Maintain up to date journal entries, write-offs, and sub-ledgers as needed.
- Coordinate with State and Local Entities: Work with Social Security and other agencies to ensure accurate Rep Payee benefits.
- Manage Service Authorizations: Ensure accuracy from start of service through termination.
- Ensure Proper Billing and Tracking: Billing rates and services align with approved authorizations and accurate tracking of changes.
- Organize and Prepare for Audits: Maintain financial files and reports as requested for compliance reviews and improvement initiatives.
- Maintain Confidentiality: Adhere to HIPAA requirements.
- Experience/
Education:
High school diploma or GED with combined two years of related education or experience OR five years of related accounting, billing or finance experience. - Technical proficiency: Strong technical proficiency with payroll and HR systems. Microsoft Office applications and automated payroll and timekeeping systems.
- Financial Stewardship
Experience:
Experience supporting fiduciary or Representative Payee functions. - Accounting Systems: Experience with Dynamics GP (Great Plains), Workday, My Money (E-Guardianship) as well as using multiple accounting or billing systems.
- Industry: have worked in healthcare, human services, or other regulated environments.
- Attention to Detail & Accuracy: Consistently demonstrates a high level of precision when reviewing data, documentation, and reports to ensure accuracy and compliance.
- Prioritization & Time Management: Effectively manages multiple tasks and competing deadlines while maintaining quality and productivity.
- Microsoft Office Proficiency: Strong working knowledge of Microsoft Office applications, including Excel, Word, and Outlook, to efficiently organize, analyze, and communicate information.
- Financial Analysis & Reconciliation: Able to analyze financial data, identify discrepancies, and take appropriate steps to resolve issues accurately and timely.
- Communication
Skills:
Communicates clearly and professionally in both written and verbal formats with internal teams and external stakeholders. - Critical Thinking & Problem Solving: Applies sound judgment and analytical thinking to assess situations, identify root causes, and develop effective solutions.
