Position Overview

The Executive Assistant to the Chief Human Resources Officer (CHRO), serving as both administrative and operations support for HR, provides high‑level administrative, operational, and program coordination support to ensure the efficient execution of HR priorities and daily office functions. Critical job functions include managing a complex executive calendar, scheduling and coordinating meetings, interviews, and events, preparing presentation materials and reports, and serving as a primary point of contact for internal and external stakeholders.

The role coordinates key HR projects and programs by tracking timelines and deliverables, maintaining accurate documentation, and supporting communications. Additional essential functions include coordinating travel and expense reporting, and identifying opportunities to improve workflows, standardize processes, and enhance the overall effectiveness of the CHRO’s office.

Your Specific Responsibilities Include
  • Administer, support, and manage HR programs or functions under general supervision.
  • Provide high‑level administrative, operational, and program coordination support to ensure the efficient execution of HR priorities and daily office functions.
  • Independently implement, administer and evaluate day‑to‑day activities, functions or programs by identifying and executing tasks and objectives, making recommendations that impact policies and programs, and assigning resources to achieve the goals of the program.
  • Serve as a primary point of contact for the HR Directorate, responding to and triaging inquiries from internal and external stakeholders with professionalism, diplomacy, and discretion.
  • Own complex calendar management for the CHRO, which includes meeting prioritization, resolving administrative conflicts, and coordination with stakeholders.
  • Proactively manage and optimize the CHRO's day‑to‑day activities by assessing priorities, anticipating needs, coordinating logistics, and ensuring timely follow‑through on commitments.
  • Lead, coordinate, and support HR programs and projects based on evolving business needs, as assigned by the CHRO.
  • Coordinate HR Directorate initiatives by developing project plans, scheduling milestones, tracking deliverables and due dates, and providing status updates.
  • Create short‑ and long‑range HR planning calendars.
  • Coordinate key HR projects by tracking timelines and deliverables, maintaining accurate documentation, supporting communications and outreach, and reporting.
  • Collect and analyze data, create reports, review and explain trends; formulate and evaluate alternative solutions and/or recommendations to achieve the goals of the program or function.
  • Analyze and interpret policies; develop, revise and implement procedures for program or function.
  • Prepare and maintain high‑quality materials, including presentations, agendas, documents, reports, and drafted communications for the CHRO.
  • Plan and coordinate recurring HR Directorate meetings (e.g., HR All‑Hands, HR Managers meetings), including agenda development, pre‑reads, document distribution, minutes/action‑item capture, and document retention.
  • Oversee travel arrangements, expense reporting, and procurement activities for the CHRO and HR leaders, ensuring compliance with organizational policies and timely processing of invoices and reimbursements.
  • Represent the program or function as the key contact and subject‑matter expert within the department, unit or school.
  • Organize and/or participate in outreach activities that may include developing communications and training, planning/promoting events and/or conferences.
  • May participate in development of budgets, monitor, and approve expenditures. May perform limited forecasting and provide recommendations that determine the budget.
To Be Successful In This Position You Will Bring
  • Bachelor's degree and three years of relevant experience, or a combination of education and relevant experience. Experience with scheduling, event logistics, and human resources support is strongly preferred.
