Executive Assistant to Family Office Executive
We are recruiting on behalf of a well-established family office seeking an experienced Executive Assistant to support a senior leader. This individual will serve as a trusted partner, helping drive clarity, prioritization, and execution across a complex portfolio of initiatives, relationships, and commitments.
The ideal candidate is proactive, adaptable, and calm under pressure, with strong judgment, discretion, and the ability to anticipate needs and manage competing priorities in a fast-paced environment.
Key Responsibilities- Executive Support: Manage a complex calendar, prioritize competing demands, and align the executive's time with key priorities.
- Prioritization & Execution: Track priorities, deadlines, and follow-through across key initiatives.
- Meeting Preparation: Manage agendas, briefing materials, logistics, and follow-up.
- Travel Management: Arrange and manage complex domestic and international travel.
- Stakeholder Coordination: Coordinate with internal teams and external contacts with professionalism and discretion.
- Written Materials: Draft, proofread, and edit correspondence, presentations, and other materials.
- Workstream Management: Track progress, deadlines, and responsibilities across projects.
- Meetings & Events: Support the planning and execution of meetings and events.
- Contact Management: Maintain accurate contacts and distribution lists.
- Special Projects: Lead and contribute to projects and cross-functional initiatives as needed.
- Experience: 7+ years supporting senior executives in a complex, fast-paced organization. Strong preference for experience in family offices, nonprofits, or foundations.
- Judgment & Discretion: Exceptional judgment and discretion with confidential information.
- Organization: Highly organized and detail-oriented with the ability to manage competing priorities.
- Communication: Excellent written and verbal communication skills with a polished presence.
- Problem Solving: Able to anticipate needs, think critically, and independently navigate challenges.
- Ownership: Proactive, resourceful, and comfortable operating autonomously.
- Collaboration: Strong interpersonal skills and ability to build trust quickly.
- Work Structure: Onsite
- Environment: Fast-paced, high-touch environment requiring discretion, adaptability, and sound judgment
