Position Description

The Deputy County Clerk – Circuit Court Clerk performs a wide variety of specialized clerical, administrative, and court support functions for the Menominee County Circuit Court. This position is responsible for receiving, processing, and maintaining criminal, civil, domestic relations, and appellate court records; serving as courtroom clerk and judicial assistant during court proceedings; coordinating jury management; recording court proceedings; preparing required reports for state agencies;

processing court financial transactions; and providing exceptional customer service to judges, attorneys, litigants, governmental agencies, and the public.

The Deputy County Clerk – Circuit Court ensures compliance with Michigan Court Rules, statutes, administrative orders, and State Court Administrative Office (SCAO) requirements while maintaining the confidentiality and integrity of official court records.

In addition to Circuit Court responsibilities, this position provides administrative support for the Menominee County Clerk's Office by processing Concealed Pistol License (CPL) applications, preparing and maintaining vital records, completing required reports, and delivering courteous and efficient customer service to the public.

Essential Functions and Responsibilities

The following duties are primarily performed and are essential for this position. Employees are expected to be able to perform each of these job duties satisfactorily and successfully to be qualified for the position. Other duties may be required and assigned.

Court Clerk/Judicial Assistant for Court Proceedings and Jury Trials for the 41st Circuit Court
  • Serve as judicial assistant to the Circuit Court Judges during court proceedings, hearings, and jury trials.
  • Record and summarize court proceedings using the Trial Court System (TCS).
  • Prepare, process, and file court orders, judgments, verdicts, commitments, and other legal documents.
  • Prepare daily court dockets and coordinate courtroom activities to ensure efficient court operations.
  • Administer oaths to witnesses, jurors, and bailiffs.
  • Coordinate interpreter services to facilitate effective communication during court proceedings.
  • Maintain custody and documentation of court exhibits during and following hearings and trials.
  • Schedule hearings and manage judicial calendars in coordination with judges, attorneys, and court staff.
  • Operate courtroom technology, including Polycom, Zoom, and other electronic courtroom systems.
  • Ensure court records and documents are completed, signed, and filed in accordance with Michigan Court Rules and court procedures.
Circuit Court Clerk
  • Receive, review, process, and maintain criminal, civil, domestic relations, personal protection order (PPO), and appellate court filings.
  • Create and maintain electronic and paper case files using the Trial Court System (TCS).
  • Review filings for completeness, accuracy, timeliness, and compliance with court rules and statutory requirements.
  • Assist litigants and attorneys with filing procedures while providing procedural information without offering legal advice.
  • Collect, receipt, process, and reconcile court-related fees, fines, restitution, bonds, Friend of the Court fees, and juror payments.
  • Maintain confidential records relating to criminal convictions, Holmes Youthful Trainee Act (HYTA) cases, settlements, and other protected court matters.
  • Monitor case activity, filing deadlines, and docket requirements; communicate deficiencies and required actions to judges, attorneys, litigants, and state agencies.
  • Schedule hearings and coordinate the Circuit Court master calendar with Probate and District Courts.
  • Prepare court files and supporting documentation for hearings and trials.
  • Prepare and transmit appellate records to the Michigan Court of Appeals.
