PROJECT ACCOUNTANT POSITION SUMMARY

The Project Accountant is responsible for the financial administration and billing of construction projects, with a primary focus on Guaranteed Maximum Price (GMP), change order management, and phased/progress billings. This position partners closely with Project Managers, Project Directors, and their support teams to ensure accurate, timely, and contract compliant billings, while maintaining strong financial controls and visibility throughout the life of each project.

DUTIES

& RESPONSIBILITIES
  • Manage the financial setup and ongoing accounting for assigned construction projects.
  • Maintain accurate project records in the ERP system, including contract values, approved change orders, cost tracking, and supporting documentation.
  • Prepare, review, and submit monthly client billings, including GMP/AIA progress billings, phased or milestone billings, and change order/amendment billings, ensuring alignment with contract terms and owner requirements.
  • Coordinate billing reviews and “pencil draw” meetings with Project Managers and Project Directors to ensure billing accuracy and readiness.
  • Monitor job cost reports, track retainage and contract balances, and investigate variances between budgeted, committed, and actual costs, and perform ongoing GMP reconciliation of contingencies, allowances, and change orders.
  • Serve as the primary accounting contact for assigned projects, communicating proactively regarding billing schedules, documentation needs, and upcoming deadlines.
  • Process client invoices, coordinate vendor payments, and work with the Accounting team on subcontractor invoices, lien waivers, tax‑exempt requirements, and weekly check runs.
  • Issue and track change orders for clients and vendors and assist in resolving billing or invoice discrepancies related to GMP, retainage, or scope changes.
  • Perform project reconciliations, prepare project‑specific financial reporting, and record necessary journal entries to ensure financial accuracy and compliance.
  • Support internal and external audits and provide financial updates to accounting leadership and project teams.
  • Assist with vendor and client setup.
  • Provide backup support to the accounting team and participate in special projects.
  • Perform other duties as assigned.
NECESSARY EXPERIENCE & QUALIFICATIONS

Required

  • Associate degree in Accounting with a minimum of three years of construction accounting experience, including accounts receivable, accounts payable, GMP project accounting, and AIA invoicing.
  • Strong working knowledge of accounting principles, tax compliance regulations, and experience with healthcare tax‑exempt requirements, lien waivers, and complex construction contracts.
  • Proficiency in accounting systems and Microsoft Office, with advanced Excel skills.
  • Demonstrated ability to manage detailed billing requirements, while maintaining accuracy under tight deadlines.
  • Strong analytical, organizational, prioritization, and problem‑solving skills, with exceptional attention to detail.
  • Excellent written and verbal communication skills, with the ability to collaborate effectively and build positive working relationships.
  • Adaptable, accountable, and capable of navigating changing priorities in a fast‑paced project environment.
  • Committed to fostering positive relationships by demonstrating accountable and constructive behaviors.
  • Bachelor’s degree in Accounting.
