Responsibilities will include:
- Primary responsibility for this position is answering, screening, and directinghigh-volumeinbound phone calls and routing them to the appropriate attorneyor paralegals;takingmessages, updating the office calendar,andschedulingmeetings as needed.
- Greetsclients, visitors, and guests;determinesthe purpose of each person’s visit and directs or escorts them to the appropriate location in the office.
- Receives,processes and distributes high volume ofmail, documents, packagesdaily
- Performs administrative and clerical support tasks, likesupplies ordering,scanning, photocopying, filing, typing,andrecordkeeping.
- Keep updated records ofoffice-relatedexpenses.
- Maintainsconference rooms, break areas, kitchens,andreceptionarea.
- Additional duties as assigned.
Skills and Qualifications
The successful candidate should have the following qualifications:
- Proficient in English (oral and written)
- Effective communication and people skills
- Basic understanding of administrative and clerical procedures and systems
- Strongability with attention to detail
- Good organizational and multi-tasking abilities
- Problem-solving skills
- Customer service orientation
- Experience with high volume of inbound callsin a law-firm or a professional setting
- Experience with receiving,processing and distributing a high volume of mail,documents and packages
- Minimum of two (2) years of experience ina Receptionist, Front Office Representative, orsimilar positionrequired.
- Familiarity with multi-line phone systems and other office machines (e.g., fax, printer, etc.).
- Experience with Microsoft Office applications, specifically Outlook, Word, Excel, and PowerPoint.
- Familiarity with Salesforce is beneficial, but not required
- High School diploma orequivalentrequired;additional qualifications beneficial.
- Salary Range:
TBD - Salary is dependent on experience and location.
