Patient Service Representative

Location: Mequon, WI
Employment Type: Full-Time
Schedule: Monday–Friday, 8:30am to 5:00pm No evenings or weekends
Reports To: Clinic Supervisor / Regional Director of Clinic Operations

About the Position

Madison Medical is seeking a Patient Service Representative to join our team in Mequon, WI.

As the first point of contact for our patients, the Patient Service Representative plays an essential role in creating a positive patient experience and supporting the day-to-day operations of the clinic. This position provides exceptional customer service while assisting patients, coordinating appointments, managing physician schedules, and ensuring patient registration and insurance information is accurate and up to date.

The ideal candidate is organized, detail-oriented, professional, and comfortable working in a fast-paced medical office environment. You should enjoy working with patients and collaborating with physicians and members of the care team.

What You'll Do
  • Provide professional, friendly, and compassionate customer service to patients both in person and by phone
  • Assist patients with questions, requests, and general clinic needs
  • Schedule patient appointments efficiently while managing physician schedules according to provider preferences
  • Perform patient reminder calls and other appointment-related outreach
  • Answer incoming telephone calls, appropriately screen calls, take accurate messages, and process requests as directed by physicians
  • Accurately document patient information in the electronic medical record
  • Collaborate with members of the care team to obtain additional patient documentation when needed
  • Verify insurance coverage and ensure patient registration and payer information is accurate and current
  • Monitor and correct registration errors and use insurance websites to verify patient eligibility when needed
  • Obtain prior authorizations for radiology services and/or medications through web-based applications and by phone
  • Assist patients with scheduling follow‑up testing, including radiology, laboratory services, and specialist appointments
  • Prepare correspondence and other communications for physicians and patients
  • Maintain patient confidentiality and follow all applicable policies and procedures
  • Follow Madison Medical standards of practice and support the organization's commitment to quality patient care
  • Perform other duties as assigned
What We're Looking For
  • High school diploma or GED required
  • Previous experience in a medical office, healthcare, customer service, or administrative setting preferred
  • Strong data entry skills and proficiency with computer applications
  • Excellent organizational skills and attention to detail
  • Ability to manage multiple priorities in a fast‑paced environment
  • Strong verbal and written communication skills
  • Comfortable communicating professionally with patients, physicians, and coworkers
  • Ability to work independently while also contributing effectively to a collaborative team
  • Ability to handle confidential and sensitive information with discretion
  • Professional, dependable, and patient‑focused approach
