Position Overview
Under the supervision of the Director of Student Services for the School of Social Sciences, Humanities, and Arts (SSHA), the Student Services Assistant works closely with SSHA Student Services staff to plan, develop, and implement coordinated, comprehensive student and faculty support programs. Provides administrative support to SSHA Academic Advising, the Director of Student Services, and the Assistant Dean of Student and Instructional Services.
Responsibilities include:
calendar support, supply orders, budget tracking, digital communications, logistical support for committee and staff meetings, routine academic advising/student form processing, updating student records, student-focused event planning, website editing, and creating a welcoming atmosphere for students into the School.
Often serves as the first point of contact for students visiting the SSHA Academic Advising Reception. Supervises SSHA Academic Advising Student Assistants.
Key Responsibilities- Oversee undergraduate student petition process for academic advising forms, review and prepare petitions, develop protocols, track attendance, update records, archive forms, update business processes, edit related web pages, track submissions, and provide data to leadership.
- Supervise SSHA Academic Advising Student Assistants and manage the reception: create shift schedules, review timesheets, approve time off, update employee hours file, facilitate team meetings, plan and facilitate training, conduct meetings, manage hiring, support reception coverage, greet students and faculty, ensure accurate records, safe welcoming space, and assess program efficiency.
- Participate in university and school events (commencement, Bobcat Day, etc.), organize event logistics (parking, catering, room reservations), facilitate undergraduate involvement, attend meetings, prepare materials, maintain website, and manage office supplies.
- Perform other duties as assigned and provide consistent communication with Assistant Dean and Director regarding calendaring, petitions, meetings, and daily activities.
- High School Diploma, GED, or equivalent, and three (3) years of administrative/clerical work experience.
- or Bachelor's degree in a related area and relevant work experience that has led to essential skills and knowledge.
- Direct knowledge of University of California policies and procedures is preferred.
- Supervisory experience is preferred.
Working knowledge of administrative procedures and processes; proficient with Microsoft Office (Outlook, Word, Excel, Publisher) and other software. Strong verbal and written communication skills, multitasking, time management, active listening, critical thinking, and diplomatic communication across diverse backgrounds. Ability to work independently, maintain accurate records, set priorities under conflicting demands, and use student information systems such as Banner, COGNOS, Blink, Astra, My Degree Path , Box, OnBase.

Hiring RangeSalary range:
Step 1: $27.17 – Step 17: $38.61. Hourly rate:
Step 1: $27.17/hr.
