Position: Administrative Officer 2 (Hybrid)

Hiring Range

The University of California, Merced is required to provide a reasonable estimate of the compensation range for this role. This range takes into account the wide range of factors that are considered in making compensation decisions including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. It is not typical for an individual to be offered a salary at or near the top of the range for a position.

Salary offers are determined based on final candidate qualifications and experience. The full salary range for this position is Step 1: $29.03 - Step 17: $42.34. The hourly range the University reasonably expects to pay for this position is STEP 1: $29.03/hr.

Job Closing Date

Work Schedule

This position follows a hybrid schedule, requiring one day per week in the office.

About The Job

Under the general supervision of the Director of Operations for the Office of Research and Economic Development (ORED), the Administrative Officer applies broad expertise in administrative operations to support the efficient coordination and execution of ORED's daily activities. Working in close collaboration with the Director of Operations and Chief Administrative Officer (CAO), the Administrative Officer provides operational support across multiple functional areas, including general administrative practices, procurement, travel coordination, personnel management, recharge administration, equipment oversight, space allocation, website maintenance and development, and event coordination.

In addition, this position serves as a backup to the Executive Assistant to the Vice Chancellor of Research, providing critical administrative and logistical support as needed to ensure continuity of executive operations.

Key Responsibilities
  • Business Operations:
    Serves as the primary point of contact for ORED's daily operations, including procurement, travel coordination, equipment management, space allocation, including Cat Card access, and event planning. Maintains and updates website content, organizational charts, and the ORED staff directory to ensure accuracy and accessibility.
  • Personnel Management:
    Supports the CAO with personnel management tasks, including overseeing student hires, managing affiliate accounts, and coordinating with executive search firms. Assists in maintaining accurate personnel records and ensuring appropriate allocation of funding resources.
  • Recharge Administration:
    Supports Recharge Administration within the Office of Research by preparing billing documentation and invoicing clients in accordance with established policies and procedures.
  • Executive Administrative Support:
    Serves as a backup to the Executive Assistant for the Vice Chancellor of Research (VCR). Responsibilities include managing the VCR's calendar, coordinating travel arrangements, and preparing agendas and meeting materials.
  • Other duties as assigned.
Qualifications

Education and Experience

  • Bachelor's degree in a related area and/or equivalent experience/training. (Required)
  • Three (3) years administrative/clerical work experience, or the equivalent years of work experience which have led to the development of the skills, knowledge, and abilities essential to the successful performance of the duties assigned. (Required)

  • Direct knowledge of University of California policies and procedures. (Preferred)
  • Demonstrates a profound commitment to service excellence.
  • Ability to use discretion and maintain confidentiality.
  • Strong skills to communicate effectively with all levels of faculty, staff, students and external constituencies, both verbally and in writing.
