Position: Administrative Officer 2 (Hybrid)

Job Summary

Under the general supervision of the Director of Operations for the Office of Research and Economic Development (ORED), the Administrative Officer applies broad expertise in administrative operations to support the efficient coordination and execution of ORED's daily activities. Working in close collaboration with the Director of Operations and Chief Administrative Officer (CAO), the Administrative Officer provides operational support across multiple functional areas including general administrative practices, procurement, travel coordination, personnel management, recharge administration, equipment oversight, space allocation, website maintenance and development, and event coordination.

The position also serves as a backup to the Executive Assistant to the Vice Chancellor of Research, ensuring continuity of executive operations.

Key Responsibilities
  • Business Operations:
    Primary point of contact for ORED's daily operations, including procurement, travel coordination, equipment management, space allocation, Cat Card access, event planning, website content updates, organizational charts, and staff directory maintenance.
  • Personnel Management:
    Supports the CAO with student hires, affiliate accounts, coordination with executive search firms, and maintenance of accurate personnel records.
  • Recharge Administration:
    Prepares billing documentation and invoices for Recharge Administration within ORED.
  • Executive Administrative Support:
    Acts as backup to the Executive Assistant for the Vice Chancellor of Research; manages calendar, coordinates travel, prepares agendas and meeting materials.
  • Other duties as assigned.
Qualifications

Education and Experience
  • Bachelor's degree in a related field and/or equivalent experience/training. (Required)
  • Three (3) years of administrative/clerical work experience, or equivalent, demonstrating the development of essential skills, knowledge, and abilities. (Required)
Critical Knowledge and Skills
  • Direct knowledge of University of California policies and procedures. (Preferred)
  • Commitment to service excellence.
  • Discretion and confidentiality.
  • Strong verbal and written communication skills with faculty, staff, students, and external constituencies.
  • Analytical and problem‑solving skills.
  • Proficiency with Microsoft Office applications.
  • Understanding of organizational processes, protocols, and procedures for efficient execution.

Compensation

Step 1: $29.03 – Step 17: $42.34. Hourly range:
Step 1: $29.03/hr.

Job Closing Date

Initial applicant review will begin July 6th, 2026. Posting will remain open until filled. Position follows a hybrid schedule, requiring one day per week in the office. Position represented by Clerical & Allied Services- CX Teamsters Local 2010.
