Location: Merced College, CA
Under the direction of the Director of Admissions, Records and Follow‑Up Services, performs specialized technical duties related to the evaluation and processing of student transcripts and determining if program graduation requirements have been met. Carries out research, certifies equivalent course credit, investigates and resolves complex technical problems, ensures all evaluation deadlines are met, and serves on related committees.
Essential Functions- Research, verify, analyze and assess student transcripts and academic histories, translating grading systems and course credit from other institutions; award equivalent credit based on educational, military and other backgrounds.
- Research catalogs and course information for other colleges and universities, evaluating catalog information to confirm course‑to‑course equivalencies.
- Evaluate international transcripts received per articulation agreements and from approved transcript translation services.
- Build and maintain other schools and corresponding coursework in evaluation databases to aid evaluators and counselors.
- Develop, monitor, improve, and oversee data file systems and supplementary databases.
- Provide training to incoming evaluation staff.
- Serve on the technical implementation team for new or changing admissions processes and platforms.
- Offer information, assistance, interpretation, and clarification to graduation applicants and counselors regarding placement decisions, course substitution, and petition policies.
- Interpret, verify, and apply AP, IB, and Credit by Exam units; post grades earned through CBE and 2+2.
- Process CSU GE, IGETC, and Reciprocity certifications.
- Receive and process relevant certification documentation and subpoenas of student records, both state and federal.
- Perform technical review and processing of graduation application information, verifying completion of program and other graduation requirements, communicating outcomes to applicants, and assisting in related reporting for district graduation ceremonies.
- Serve on the Graduation committee, prepare and mail graduation information packets, and assist in planning graduation ceremonies.
- Develop and maintain graduation statistics and related reports for district needs.
- Collaborate with faculty, staff, and students to obtain information for research and evaluation purposes.
- Serve on the Degree Audit team to ensure database accuracy.
- Act as Admissions representative on the Curriculum committee.
- Ensure timely reporting of AAT/AST information to the e‑Verify system database by evaluation team.
- Prepare, scan, and coordinate imaging of student transcript and graduation application records; maintain file integrity.
- Interpret Admissions and Records policies and apply them in varied procedural situations.
- Assist with application/registration processes as needed.
- Perform other related duties as assigned.
- Research and data evaluation techniques related to student records.
- Computer programs supporting data management and spreadsheet applications.

- Document evaluation techniques and practices.
- Effective communication and customer service methods.
- Time‑management and organization skills.
- Policies, regulations, and procedures of the admissions and records office and the district.

- Use established databases to create and maintain accurate data.
- Communicate effectively, both orally and in writing.
- Prioritize, plan, and organize diverse work assignments.
- Establish and maintain effective working relationships.
- Promote and incorporate culturally affirming DEIA and anti‑racist principles, respecting diversity of students and colleagues.
- Minimum:
