This position is approved for a hybrid work modality. This division currently requires 2 - 3 days per week in office.

The ideal candidate will have strong communication and organizational skills as well as significant "hands-on" experience of managing the end-to-end software lifecycle: procurement, licensing, vendor management.

About the Job

Reporting to the IT Business Manager, the Campus Software Coordinator leads and organizes software management for the Office of Information Technology. This is a newly-created role that will partner closely with campus stakeholders to streamline the software procurement process, more efficiently deliver services associated with software licensing in OIT and across campus, and establish relationships with key software vendors to ensure appropriate contract management.

The Campus Software Coordinator will be tasked with creating and maintaining a campus software catalog and supporting data sources (including provisioning and renewal records) to provide reliable visibility into software security, accessibility, access, and costs. This role will manage new provisioning and renewals for common software; oversee annual renewals, co-terms, and vendor contract administration; and provide regular trend reporting and analysis to OIT and campus leadership to inform strategic planning and roadmap development.

The role will also collaborate with UC Office of the President and UC system peers as needed to align practices and leverage shared opportunities.

KEY RESPONSIBILITIES:
  • Vendor Management
    - Create and maintain campus software catalog; manage Value-Added Resellers (VAR) and associated catalog build; manage and store accessibility and security documentation for approved campus software; create and maintain reports of requested software; manage relationships with major campus vendors through regular meetings; create and maintain UC Merced software need analysis & roadmap; create and maintain stakeholder documentation for software not centrally managed.
  • License & Contract Management
    - Manage key software vendor contracts; build and maintain software license provisioning database; manage annual renewals and co-terms; maintain and manage OIT software renewals data; create and maintain regular reporting for campus and OIT leadership on current spend and tail spend to inform strategic planning; manage new provisioning and renewals for internal OIT software (i.e. Service Now, Jira, Airtable); manage new provisioning for campus enterprise software (i.e. Adobe CC, Zoom Webinar, Microsoft dd-Ons, etc.).
  • Software Process, Strategy, and Relationship Building
