Assistant Controller

PURPOSE:

The Assistant Controller will support the financial operations of West Ada School District by focusing on transactional accounting and ensuring the accuracy, integrity, and compliance of all financial records. The Assistant Controller will assist the Controller in managing day-to-day accounting functions and implementing effective financial management practices. The Assistant Controller is also responsible for the financial oversight of the two Charters, MTCHS, and MMACHS, that are authorized by the district.

RESPONSIBILITIES:1.

Transactional Accounting:
  • Oversee and manage daily accounting operations, including accounts payable, accounts receivable, and general ledger activities.
  • Ensure timely and accurate processing of transactions and maintain up-to-date financial records.
2. Financial Reporting:
  • Assist in the preparation of accurate and timely financial statements, including balance sheets, income statements, and cash flow statements.
  • Support the Controller in preparing monthly, quarterly, and annual financial reports.
3. Internal Controls and Compliance:
  • Help establish and maintain robust internal controls to safeguard district assets and ensure financial accuracy.
  • Ensure compliance with federal, state, and local regulations, as well as internal policies.
4. Audit and Reconciliation:
  • Assist in coordinating and overseeing internal and external audits, ensuring timely and accurate completion.
  • Conduct regular reconciliations of bank accounts, credit card statements, and other financial accounts.
  • Investigate and resolve discrepancies identified during reconciliations.
  • Ensure that all bank reconciliation items are followed up and resolved promptly.
  • Prepare and maintain detailed documentation of reconciliation processes and findings.
5. Accounts Payable and Receivable:
  • Manage accounts payable and receivable functions, including invoice processing, payment disbursements, and collections.
  • Ensure timely and accurate billing and receipt of funds.
6. General Ledger Maintenance:
  • Maintain and reconcile the general ledger, ensuring accuracy and completeness of financial data.
  • Post journal entries and perform month-end and year-end closing procedures.
7. Financial Analysis:
  • Conduct financial analysis to support decision-making processes and identify opportunities for cost savings and efficiency improvements.
  • Provide financial data and insights to support strategic initiatives.
8. Team Collaboration and Development:
  • Support and mentor accounting staff, fostering a culture of continuous improvement and professional development.
  • Promote collaboration and effective communication within the team and across departments.
9. Technology and Systems Management:
  • Assist in managing financial systems and software, ensuring data integrity and efficient workflow.
  • Support efforts to enhance financial processes through technology and automation.
Questions and

Experience:

Education:
  • Bachelor's degree in Accounting, Finance, or a related field; CPA or CMA certification preferred.
Experience:
  • Minimum of five years of progressive experience in accounting or finance, or related experience that aligns with the responsibilities of the role
  • Strong understanding of accounting principles, financial reporting, and internal controls.
  • Proficiency in financial software and Microsoft Excel; experience with ERP systems and educational finance software is a plus.
  • Exceptional analytical, organizational, and problem-solving skills.
  • Excellent communication and interpersonal skills, with the ability to collaborate effectively across all levels of the organization.
