Receptionist & Travel Coordinator

We are looking for a Receptionist & Travel Coordinator who will provide exceptional front-office support while coordinating company travel arrangements and administrative operations with accuracy, professionalism, and efficiency. This role serves as the first point of contact for visitors, employees, clients, subcontractors, and vendors while ensuring smooth office operations and seamless travel coordination.

Essential Duties May Include:

In the First 30 Days and Ongoing:

  • Learn Eleven Western Builders' services, operations, processes, and business lines.
  • Become familiar with company travel procedures, office administration processes, and employee support functions.
  • Learn company systems and software, including Microsoft Office, Sage 300, Procore, and other business applications.
  • Build positive working relationships with employees, managers, vendors, clients, subcontractors, and visitors.
  • Understand company policies related to travel coordination, office administration, and customer service.
  • Support front desk operations by greeting visitors, managing phone calls, handling mail, and maintaining a welcoming office environment.

By the 90-Day Mark and Ongoing:

  • Independently coordinate business travel arrangements, including airfare, hotels, rental vehicles, and travel itineraries.
  • Serve as the primary point of contact for employee travel needs and travel-related questions.
  • Assist in managing travel expenses and identifying cost-effective travel options.
  • Coordinate shipping, receiving, mail distribution, and office logistics.
  • Maintain office supplies, vendor relationships, and service appointments.
  • Support meeting scheduling, conference room coordination, and company events.
  • Provide administrative assistance across Human Resources, Operations, Accounting, and other departments as needed.

Within the 6th to 9th Month Mark and Ongoing:

  • Demonstrate a thorough understanding of company travel policies and office operations.
  • Effectively manage multiple travel requests, administrative projects, and daily office responsibilities.
  • Maintain organized electronic and hard-copy filing systems.
  • Support onboarding activities, including workstation and office preparation for new employees.
  • Resolve travel and office-related issues with professionalism and urgency.
  • Assist with special projects, company events, and departmental initiatives.

By the 12th Month Mark and Ongoing:

  • Operate as a fully integrated team member who independently manages front-office operations and company travel logistics.
  • Consistently provide exceptional customer service to employees, clients, subcontractors, and vendors.
  • Demonstrate strong organizational skills and attention to detail while managing multiple priorities.
  • Proactively identify opportunities to improve office processes and administrative efficiency.
  • Serve as a trusted resource supporting daily operations and employee needs across the organization.

Education,

Skills & Experience:

  • High school diploma or equivalent required;
    Associate degree preferred.
  • Minimum of two years of administrative, receptionist, office coordination, or related experience preferred.
  • Experience coordinating business travel arrangements preferred.
  • Intermediate to advanced proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
  • Construction industry experience is a plus.
  • Strong organizational, time-management, and multitasking skills.
  • Professional verbal and written communication skills.
  • Ability to work independently, prioritize responsibilities, and maintain confidentiality.
  • Strong customer service mindset with exceptional interpersonal skills.

Pay Range:

$19-$24 per hour
