Job Summary We are seeking an organized, energetic, and customer-focused Administrative Assistant to support the daily operations of our property management team. This role is responsible for helping maintain an efficient office environment while providing administrative support to onsite staff, residents, vendors, and management. The ideal candidate is detail-oriented, professional, and thrives in a fast-paced, team-oriented environment.

Responsibilities Greet and welcome residents, vendors, applicants, and guests in a professional and friendly manner
Answer incoming phone calls, emails, and office inquiries promptly and professionally
Maintain office organization, cleanliness, and supply inventory
Ensure office supplies and materials are fully stocked and ordered as needed
Assist with resident move-ins by preparing paperwork, coordinating schedules, and ensuring a smooth onboarding process
Print, organize, and distribute checks securely and accurately
Support billing and accounting processes including invoice tracking, data entry, and communication with vendors or accounting staff
Maintain accurate filing systems and resident records
Assist property management staff with administrative projects and daily operational tasks
Help coordinate internal office communication and scheduling
Support leasing and resident services teams as needed
Maintain confidentiality of resident and company information
Ensure compliance with company policies and professional office standards
Qualifications
Excellent communication and interpersonal skills
Strong organizational skills and attention to detail
Ability to multitask and prioritize responsibilities effectively
Positive attitude and strong customer service skills
Proficiency in Microsoft Office Suite including Word, Excel, and Outlook Ability to work independently and collaboratively within a team environment
Professional demeanor and dependable work ethic
High school diploma or equivalent required
Previous administrative, office support, or property management experience preferred
Preferred Skills Experience in property management or real estate administration
Familiarity with property management software such as Entrata or similar property management software
Basic accounting or billing experience
Strong problem-solving and time management abilities
Bilingual is a plus
