Responsibilities- Maintain the parts warehouse by receiving and storing parts, filling customer orders, and accurately shipping items to both customers and other branch locations.
- Perform customer deliveries, vendor parts pick up, with proof of driver’s license and acceptable driving record (two years of warehouse experience required).
- Actively care, promote, manage, and advocate safety at Western States, ensuring all employees, vendors, and clients have a safe work environment in accordance with safety policies, procedures, and standards.
- Maintain clean, clutter‑free personal work areas and adhere to required PPE as identified in safety policy.
- Secure safety boots, high‑visibility vests, safety glasses, and all required PPE for internal and external clients entering the yard.
- Work closely with Service Pricing Group to provide estimates or quotes to customers in adherence with Customer Care Standards.
- Coordinate service opportunities with Product Support Sales Representatives, Rental Sales Representatives, and other department sales representatives.
- Manage service contracts throughout all phases to drive accuracy and provide positive results for all parties involved.
- Adhere to all established procedures to ensure consistent contract execution throughout the contract life cycle.
- Build special contract services and scheduled service plans in the Contract Management System to meet client needs.
- Build service schedules based on the contract agreement made with the customer to ensure timely execution.
- Manage all repairs or PM services done out of territory for clients under contract agreements.
- Enter data into the contract management system and document contract agreements with customers correctly to allow scheduled services to be executed on time.
- Identify variances in contracts and initiate change orders in Microsoft Dynamics AX to update the contract agreement, ensuring contract financial results are obtained in 95% of all contracts.
- Develop a clear understanding of the scope of work covered under service contracts and work with the Service Pricing team to create standard jobs that allow accurate execution.
- Provide closing balance amounts and transactional details to Service Pricing Supervisor to balance out the pre‑paid contract account for expiring prepaid contracts.
- Act as the secondary point of contact for Product Support Sales Rep and Machine Sales Rep for assigned territory for service contract quoting, creation, execution, and closing.
- Provide information needed to complete service schedules accurately and within agreed scope of work to Service teams across the organization.
- Create scheduled service plans to signal the service organization when scope of work must be completed as outlined in contract agreement terms, and personalize interaction with each location regarding scope and timing.
