What You’ll Be Doing
Process transactional print output, including policies, endorsements, cancellations, renewals, billing statements, claim letters, and claim & accounting checks, and prepare for mailing and delivery. Prepare company outgoing mail, including overnight mail and mail with special delivery requirements. Perform administrative tasks associated with special handling of items including obtaining, assembling archived material and processing cancellations.
On Any Given Day, You’ll- Assemble and prepare policies, endorsements, cancellations, and additional documents for all lines of business. Attach appropriate forms or fill‑in forms as required. Process special handling policies and endorsements per instructions. Prepare duplicate and certified copies of policies as requested. Process daily transactions and tasks for line specific policies, including filings, crits, and other state‑mandated tasks.
- Prepare outgoing mail and special handling mail, including paperwork required by carrier(s). Prepare daily list of outgoing certified mail and proof of mail, reconcile with automated list, and follow up on mail.
- Monitor supply inventory such as paper, envelopes, and other print and mail related supplies.
- Responsible for check printing and mailing, including print accuracy, printer issues, and preparing for mailing. Be aware of check handling instructions for Claim and Accounting departments.
- Responsible for production printing and mailing, including print accuracy, printer issues, and preparing and mailing policy documents and other transactional print.
- Monitor shared electronic mailboxes to distribute and process requests.
- Fill material and supply requisitions for internal and external customers maintaining an inventory of all supplies. Fulfill letters requiring brochures, claim documents, or sales materials.
- Be aware of rules, regulations, and requirements for the U.S. Postal Services and other carriers as necessary. Resolve any questions related to carriers.
- Maintain confidentiality of incoming and outgoing documents or packages.
- High school diploma or equivalent is required. Post‑secondary education in a print and mail related field is a plus.
- Production printing, mailing, or distribution experience is a plus.
- Ability to learn computer‑based programs and navigate electronic file repositories.
- Attention to detail and adherence to strict accuracy/quality/consistency standards.
- Ability to learn postal service and other carriers' mailing requirements.
- Ability to stay current with ongoing changes in postal rules and regulations and requirements for carrier/shipping services.
- Ability to make appropriate choices on manner to ship mail and packages.
- Ability to set priorities and be self‑motivated.
- Cooperative attitude and ability to work in a team environment.
- Ability to take and follow direction.
- Ability to communicate effectively via telephone, e‑mail, etc.
- Knowledge of business grammar, punctuation, and spelling.
- Maintain confidentiality of viewed materials.
- Must be able to meet and implement deadlines on a daily basis.
- Ability to lift supplies and boxes, typically not more than 30 lbs.
