POSITION SUMMARY:

We are looking for a highly organized, thoughtful, and experienced professional to serve as Assistant to the President and joint owner of Go Port. This is not a traditional administrative support role; the right person will serve as a trusted partner who can help organize priorities, advance initiatives, conduct research and analysis, manage his calendar and external appointments, and ensure important details do not fall through the cracks.

This role will have visibility across the organization and requires someone who is comfortable navigating different levels of a company, communicating with department leaders and employees, and representing the President professionally with vendors, partners, and other external contacts.

The ideal candidate is someone who can take a loosely defined objective, ask the right questions, research and organize the necessary information, and bring it to the President for further direction. This position will initially be part-time, approximately 20 hours per week, Monday through Friday from 10 am to 2 pm, working at our corporate plaza. There may be an opportunity for the position to become a full-time role as the position's needs evolve, but it is not guaranteed.

PRINCIPAL

RESPONSIBILITIES AND

ACTIVITIES:
  • Work directly with the President to organize and track business initiatives and projects.
  • Help translate ideas and priorities into organized action items, timelines, follow-ups, and deliverables.
  • Monitor outstanding items and follow up with internal and external partners to keep initiatives moving.
  • Maintain a high level of organization around multiple priorities, projects, and deadlines.
  • Manage and maintain the President's calendar, including scheduling, rescheduling, and coordinating priorities.
  • Coordinate meetings and appointments with vendors, business partners, consultants, and other external contacts.
  • Draft professional emails, communications, and other correspondence on behalf of the President.
  • Conduct detailed research on business, operational, vendor, industry, and other topics as requested.
  • Gather, organize, and analyze information to help support the President’s decision-making.
  • Build reports, summaries, spreadsheets, and other materials that translate information into clear, useful insights.
  • Review information critically, identify trends, inconsistencies, or gaps, and present relevant findings.
  • Prepare agendas, background materials, presentations, and other information needed for meetings.
  • Adhere to all company policies and represent Go Port with professionalism, integrity, and discretion at all times.
  • Additional duties may be assigned as necessary.
SKILLS, REQUIREMENTS, AND

CORE COMPETENCIES:
  • Demonstrated experience in executive support, project coordination, legal, or similarly detail-intensive role; relevant experience will be considered in place of formal education.
  • Exceptional written and verbal communication skills, with the ability to communicate professionally across all levels of an organization and external partners.
  • Strong analytical, critical-thinking, and research skills, with the ability to evaluate information, identify gaps, and turn complex information into clear, actionable materials.
  • Highly organized with excellent attention to detail and ability to manage multiple priorities, deadlines, and projects simultaneously.
  • Sound professional judgment and the ability to work independently while recognizing when a matter requires the President’s input or direction.
  • Demonstrated ability to handle confidential and sensitive business information with a high degree of discretion.
  • Proficient with business software including Google Workspace and/or Microsoft Office.
  • Professional, adaptable, and comfortable working with executives, department leaders, vendors, and other external partners.
  • Paralegal or legal assistant experience is strongly preferred; previous experience supporting a business owner, President, executive, attorney, or other senior leader is also preferred.
WORK ENVIRONMENT:
  • Primarily computer- and digital communication-based work in an office setting.
  • Regularly involves collaboration across departments and external partners.
  • Regularly requires prolonged periods of sitting and working at a computer.
  • May require occasional schedule flexibility to accommodate meetings and appointments, or business needs.
