Location:
Selected candidate will reside in the MST Time Zone.
The IFM Vendor Coordinator oversees vendor compliance, communication, and development, approves invoices, and collaborates closely with the Operations Manager to support all facility activities. The role serves as the primary point of contact for internal and external customers seeking support from third‑party services.
Key Responsibilities- Perform day‑to‑day oversight and completion of work orders, providing status updates via the work order system.
- Provide backup support for meetings.
- Assist in solving problems associated with building services and property management.
- Initiate new business vendors and maintain existing vendor relationships to ensure proper coverage for customer locations.
- Act as the vendor’s first point of contact and develop strong working relationships with both new and existing vendors.
- Collaborate with vendors to identify and correct service concerns.
- Set up and adjust vendor status in accounting systems and research invoices received from vendors not yet in the system.
- Monitor, analyze, and report vendor performance and results, including cost, lead time, and vendor issues or complaints.
- Ensure appropriate follow‑up with vendors, team members, and clients.
- Assist with budgetary requests, analysis, and reporting.
- Support Finance, Sourcing, and other Account Management team members.
- Act as liaison between the account accounting team (accounts payable and receivable) and vendor relationships.
- Receive and dispatch work requests to technical staff, vendors, or other service providers.
- Coordinate and schedule maintenance activities.
- Handle multiple demands and priorities effectively, adapting quickly to change.
- Continuously improve processes and systems for overall client satisfaction.
- Perform other duties as assigned.
- 2+ years of experience in Facility or Property Administration.
- Associate degree in facilities management, building, business, or a related field.
- 2+ years of facilities or commercial real estate experience in an administrative capacity.
- Superior customer service skills and orientation.
- Ability to maintain professionalism under stressful situations.
- Ability to plan and manage work under time constraints.
- Ability to multitask and work without direct supervision.
- Proficiency in MS Office and strong written, verbal, and people skills.
- Strong organizational skills and collaborative style.
- Familiarity with Corrigo CMMS.
Estimated compensation: $45,000 – $62,000 per year.
Remote – Phoenix, AZ, Tucson, AZ.
